This position serves as the Administrative Assistant at the Mount Sinai Fertility Laboratory

The Administrative Assistant is an integral part of the busy, dynamic, and growing, Mount Sinai Fertility at Mount Sinai Hospital. In this role, you will be expected to exercise sound judgment and independence while managing day-to-day program related activities. You will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the department. This is a Temporary Full Time, day shifts position with required participation in the weekend rotations. This position will work closely with the Lab Manager, Genetic Counsellor and other laboratory staff within the department.

The Administrative Assistant\xe2\x80\x99s responsibilities include but are not limited to:

  • Maintains electronic calendar and schedules, maintains filing system, and coordinates the day-to-day operations in the department
  • Schedule Patient appointments
  • Manages dat-to-day administrative activities including arranging meetings, room and catering bookings, agenda setting and minute taking
  • Pull patient charts, files and organizes laboratory documents
  • Assisting in organizing referrals to US reference labs.
  • Retrieve. upload and enter patient data and outcomes to the clinic EMR and laboratory databases
  • Maintains supple inventory and ordering and assisting the lab accounts
  • Obtain molecular testing results as needed, responsible for transferring of samples and coordinating sample pickups with reference centers

Job Requirements
  • Successful completion of a Diploma in Medical Office Administration or Medical Secretary Diploma from an accredited educational institution
  • Minimum of two (2) years recent and related work experience
  • Related experience working within a clinic/ health environment preferred
  • Applicants with proven equivalent recent and related training and experience may be considered
  • Advanced technical skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and ability to use software for desktop publishing, presentation creation & website updates. Excellent data entry skills
  • Understanding of Fertility clinic processes an asset
  • Highly organized and results-focused with an ability to prioritize a varied workload; a demonstrated self-starter with high energy who show initiative, independence and the ability to take action and anticipate organizations needs in a fast paced environment
  • Superior work ethic, professionalism, dependability and reliability
  • Ability to make decisions, exercise judgement and take initiative in dealing with confidential information and/or in responding to inquiries
