We are seeking a detail-oriented and organized Administrative Professional to join our growing team. Working closely alongside both our Accountant and VP-Finance, the ideal candidate will be responsible for various administrative duties including AR & AP data entry and reconciliation; time-cards, payroll and government remittances; employee and customer record filling & maintenance as well as maintaining our Calgary office with general office duties and assisting our executives with various tasks as required.
Duties
Process and record accounts receivable & payables transactions accurately using Sage ERP
Perform account reconciliation to ensure all payments & receipts are accounted for and discrepancies are resolved promptly.
Manage customer accounts by monitoring outstanding invoices and following up on overdue payments through effective communication and collection best-practices
Provide exceptional customer service by addressing inquiries related to billing, payments, and account status with professionalism and clarity.
Conduct data entry tasks to maintain up-to-date records of transactions and customer information.
Assist in the preparation of financial reports by analyzing accounts receivable & payable data and providing insights as needed.
Collaborate with the Customer Service, Sales and Management teams to ensure client and vendor satisfaction.
Utilize strong math skills for accurate calculations related to billing and payment processing.
Requirements
Proven experience in accounts receivable/payable or a similar financial role, with a solid understanding of bookkeeping and accounting principles.
Proficiency in accounting software such as QuickBooks, Sage, or PeopleSoft is highly desirable.
Strong analytical skills with the ability to perform account analysis and identify discrepancies effectively.
Excellent data entry skills with a high level of accuracy and attention to detail.
Outstanding negotiation abilities combined with effective phone etiquette for customer interactions.
Familiarity with financial services processes and account reconciliation practices is preferred.
Office management experience, with the ability to juggle multiple tasks for multiple teams/individuals efficiently.
