Working for the
Office of the Registrar
The Office of the Registrar's Admissions unit is responsible for the undergraduate admissions process for domestic and international applicants in partnership with the faculties. Over 56,000 applicants apply to undergraduate programs at the University of Alberta every year.
Position
Reporting to the Assistant Registrar, Admissions (ARA), the Applicant Services Support will be responsible for providing excellent service to applicants to the University of Alberta and supporting the Student Service Advisors and recruitment staff as a key resource for admissions related questions from current and prospective students.
The Applicant Services Support will be an expert in interpretation and application of admission policies and procedures for all types of applicants (high school, post-secondary, domestic, and international).
The position supports all student inquiries received via all channels (phone, chat, email, in-person) referred to from the Student Service Centre.
The Applicant Services Support is accountable for proactive problem solving, discretionary decision making to resolve the majority of student inquiries and determines what type of escalation is needed as necessary. Inquiries may concern a broad range of issues regarding policies, procedures, or programs.
Applicant Services Support will also need to be aware of other services offered across campus so they can make referrals as needed.
Duties
Responds to students' inquiries about admissions that are referred from the Student Services Centre via online chat, phone, email or in person as required.
Makes and receives student referrals; coordinates connection for students between faculty advisors and/or service providers on campus, i.e. Faculties and departments, University of Alberta International (UAI).
Identifies problems and recommends solutions to Manager, Applicant Services and/or Specialists. Makes recommendations for a new or revised procedure where efficiencies can be optimized.
May be required to participate in events or sessions with prospective students such as Open House.
Identifies, requests, and confirms receipt of appropriate admission documentation required from applicants to support their Application for Admission or Readmission.
Conducts initial look at the application and advises applicants of additional program specific admission requirements and procedures necessary to successfully complete their application.
Updates education taken at postsecondary institutions for and assesses for approved credit and edits faculty-posted transfer credit narratives, ensuring that transcript standards are maintained.
May assist with special projects and other administrative duties as required.
Minimum Qualifications
Completion of two-year diploma program required; an undergraduate degree is an asset; equivalent combinations of experience and education will be considered.
Two years of minimum office related experience is required; with one year in a post-secondary environment preferred.
Computer proficiency using MS Office applications and Google Suite.
Ability to work well as part of a team to meet targets and goals.
Strong customer service orientation, interpersonal skills, tact, initiative and a positive outlook.
Excellent time management skills with the proven ability to manage and prioritize multiple tasks and competing deadlines in a very demanding, fast-past environment while maintaining superior accuracy.
Proven track record in building and nurturing relationships with internal and external stakeholders.
Excellent verbal, written and interpersonal communication skills with superior attention to detail and superior level of accuracy.
Strong commitment to service excellence, equity, diversity, inclusion and Indigenization.
Preferred Qualifications
Experience working with undergraduate students and students whose first language is not English is an asset.
Proficiency in French or another language other than English is an asset.
Familiarity with Campus Solutions/PeopleSoft, Slate, Fresh Service or other Student Information Systems is an asset.
