The Apartment Building Administrative Assistant contributes toward the smooth operation of office activities in maintaining a 95-unit property in good physical condition by supporting the overall efficiency of the team. Works with the corporate office to achieve the financial and occupancy goals of the buildings. Performs a broad range of administrative and accounting clerk duties. Responsible for all record-keeping functions. Assists with overseeing maintenance aspects of the two apartment buildings, by following up and reporting on maintenance orders status and make-readies. Provides a superior level of customer service to our tenants.
Key Responsibilities:
Serve as the primary contact for tenants, addressing inquiries, requests, and maintenance follow-ups
Manage rent collection, daily deposits, and financial reporting
Assist with leasing processes including tenant screening, lease review, and move-in/move-out coordination
Maintain accurate tenant records, lease agreements, and filing systems
Enforce the rules and regulations of the buildings and handles tenant-related issues such as delinquency and notices
Coordinate with vendors and corporate office to ensure timely property maintenance and make-ready units
Handle office tasks including correspondence, supply management, and visitor greeting
Qualifications:
1-3 years administrative or property management experience preferred
High school diploma required; some university education preferred.
Knowledge of Residential Tenancy Branch (RTB) rules is an asset
Proficient in Microsoft Office (Word, Excel, Outlook)
Basic knowledge of office equipment such as copiers, printers, and fax machines is necessary for handling documents and maintaining office supplies.
Strong communication, organization, and customer service skills
Ability to manage difficult situations professionally
Own transportation used to travel to and from bank and downtown if needed. Mileage will be reimbursed.
Physical Requirements:
Ability to navigate the building and respond to emergencies
Office-based duties with some travel as needed
