ASSOCIATED ALUMNI OFFICE



The Associated Alumni Office works on behalf of UNB and the independently incorporated UNB Associated Alumni to engage 100,000+ alumni living around the world in the life and success of UNB. Our work is guided by the Alumni Engagement Strategy and aligned with UNB's strategic vision. We proudly tell the story of our alumni and alma mater; celebrate university, student and alumni milestones and achievements; foster a culture of connection and contribution among students and alumni; and develop programs to help broaden and deepen alumni engagement. We support association governance, plan and support 100+ events annually, publish communications across multiple platforms, and offer many services, benefits and engagement opportunities for alumni.



WHAT WE OFFER



Full-time | 3-Year Term | Fredericton campus | On-Campus



Standard Work Hours:

Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week



Additional Working Conditions:



Occasionally required to be on-site after hours for major events and activities (e.g., graduation week, Reunion Weekend, Alumni Weekend, Proudly UNB Awards).



Salary Range:

$50,245- $68,479 per annum



YOUR FOCUS



Reporting to the Executive Director, the Alumni Services Representative (ASR) provides the first line of service to alumni inquiries, coordinates the benefits and services we offer to members, and helps to generate revenue for the Associated Alumni.



Provide friendly, helpful service at the main reception desk for all alumni inquiries.

Ensure reception desk coverage in collaboration with the Administrative Coordinator.

Answer the main alumni office phone and email, respond or refer inquiries, and track them to ensure timely resolution.

Greet and assist all guests and alumni visiting the office in a professional and welcoming manner.

Coordinate registration desks for major alumni events such as Reunion Weekend, Alumni Weekend, and Proudly UNB Awards.

Stay informed about alumni programs, communications, and events to provide accurate information and referrals.

Liaise with UNB departments to connect alumni with services such as transcripts, e-services, and library access.

Assist alumni with event registration, subscriptions, record updates, and other related services.

Grow revenue through programs, services, and campaigns, including affinity partnerships, diploma frame sales, merchandise sales, and advertising sales.

Secure sponsorships for alumni events to enhance the attendee experience.

Develop and manage partnerships for the Alumni Perks app and promote it to members.

Coordinate alumni benefits and services programs, seek new partners, and provide direct support to alumni.

Maintain and promote a list of alumni-owned businesses.

Manage alumni submissions for publications and coordinate alumni milestone programs and gifts.

Follow up on undeliverable mail to update alumni contact information.

Send congratulatory notes to alumni for professional achievements.

Manage inventory of alumni memorabilia.

Support the alumni events and outreach team by preparing materials such as nametags, swag bags, signage, and registration lists, and by analyzing post-event surveys.

Coordinate Alumni Skybox bookings

Support major projects and events as part of a collaborative team.

Perform administrative tasks and other duties related to alumni services and engagement.



WHAT YOU BRING



Undergraduate degree from the University of New Brunswick.

3-5 years in roles where best-in-class service direct to customers was a core expectation.

1-3 years in a professional office environment.

1-3 years experience using promotional or sales tactics to achieve targets.



Additional Strengths:



Strong written, verbal, and interpersonal communication skills, with the ability to anticipate needs and plan accordingly.

Confident in sharing and explaining a wide range of information about programs, services, and benefits.

Skilled at switching tasks quickly, with excellent multitasking and organizational abilities.

Comfortable working across multiple platforms, apps, and systems, including databases, our CRM, and web tools.
