Role Overview
As our Agency Operations & Talent Coordinator, you will keep the agency organized, strengthen client relationships, and support hiring and onboarding new team members. You'll manage internal projects, nurture client partnerships, and drive team growth. This is a remote-first role with 1-2 in-person meetups in Toronto each month. Work hours are flexible, what matters is hitting goals, not clock-watching.
Key Responsibilities
Team Management & Organization
Drive project progress in Notion and Slack by assigning tasks, tracking deadlines, and nudging teammates when needed.
Lead brief stand-up meetings to surface blockers, celebrate wins, and keep morale high.
Translate high-level ideas (voice notes, meeting summaries) into clear action items, owners, and due dates.
Client Partnership
Serve as the primary contact for routine client inquiries, ensuring questions are answered promptly.
Proactively engage clients with regular check-ins, gather feedback, and flag potential issues early.
Manage billing follow-up in Wave: track invoice status, send courteous reminders, and escalate late payments, all while preserving strong relationships.
Team Growth (Hiring & Onboarding)
Define role requirements by drafting concise job briefs and posting them on LinkedIn, Indeed, and relevant networks.
Source and screen candidates, conduct initial interviews, and coordinate final interviews with the founder.
Streamline newcomer ramp-up by preparing contractor agreements, creating onboarding checklists, and ensuring new hires are productive from Day 1.
Experience Requirements
Exposure to HR, recruiting, project coordination, customer service, or a related field
Demonstrated ownership mentality, able to complete tasks independently
Based in the Greater Toronto Area with availability for in-person meetings as needed
Hands-on experience with recruiting, hiring, and interviewing candidates
Strong verbal and written communication skills
Experience training and onboarding new employees
Proven ability to develop and implement recruitment strategies
Excellent organizational and time-management skills
Comfortable working independently and remotely
Bachelor's degree in Human Resources, Business Administration, or a related field is a plus
