Position Overview

The Department of Human Resources is currently seeking a Full-time Regular Advisor, HR Services.

Reporting to the Senior Manager/Manager, HR Services (HRS) the HR Advisor indirectly provides support to Faculty(s)/Unit(s) through the Senior HR Partners/HR Partners to whom they have a dotted line reporting relationship. This dotted line relationship requires delegation of work, information sharing, career development, and mentorship between the two parties, and is strengthened by trust, open communication and established mutual expectations.

The HRS team provides guidance and support on all HR-related matters to Faculty/Unit stakeholders while adhering to and promoting the University\'s policies, practices and programs, and ensuring compliance with relevant collective agreements and legislation.

The HR Advisor will work in the background to support multiple Partner portfolios and will be responsible for all employee/staffing groups.

This position is part of the Management and Professional Staff (MaPS) employee group, and will experience peak periods of high volume workload where additional hours will be required. While most work is conducted during business hours, some availability outside of work hours may be required.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

General HR Support:

  • Communicates proactively with the Senior HR Partners/HR Partners to ensure they are informed of key and emerging issues identified.
  • Supports the Senior HR Partners/HR Partners by preparing materials/documents in response to client needs and assisting with formulating responses in all HR areas.
  • As directed by the Senior HR Partner/HR Partner, provide advisory support to clients, ensuring a consistent approach is used within the portfolio.
  • Supports the customer service focus by ensuring all clients and/or inquiries are seamlessly relayed to the appropriate and correct HR staff.
  • Builds strong relationships with HR and COE colleagues.
  • Supports Senior HR Partners/HR Partners with collecting, compiling and interpreting data needed for responding to client inquiries while ensuring timely and accurate responses.
  • Participates in project work as assigned. Identifies opportunities for project work to Senior HR Partners/HR Partners
Sick Leave and Disability Management:
  • In collaboration with the Staff Wellness support the Senior HR Partners/HR Partners with return to work and facilitation of accommodations.
  • Compiles and reviews absenteeism data and makes recommendations on enrollment in the Attendance Support Program (ASP).
  • Assists Senior HR Partners/HR Partners with education around ASP as well as analyzing trends to determine efficacy of the program.
Talent Management and Development:
  • Supports the HR Partners and/or Senior HR Partners with the recruitment and selection process.
  • Ensures recommended practices and processes are followed to effectively facilitate all recruitment and on-boarding activities.
  • Support the selection process by doing evaluations of internal candidates to ensure compliance with relevant collective agreements.
  • Evaluate and verify that salary recommendations are appropriate, equitable and in compliance with relevant guidelines, policies, or collective agreements.
  • Supports the Senior HR Partners/Senior HR Partners in facilitating the performance management process for all employee groups including overseeing compliance with probationary or annual performance reviews, and reporting concerns or trends to the HR Partners and/or Senior HR Partners.
  • Supports development of manager coaching presentations and/or materials to meet client needs.
  • Supports HR Partners and/or Senior HR Partners with change management initiatives including preparation of documentation and suggestion of supports needed within assigned client group.
Total Rewards:
  • Supports the Senior HR Partners/HR Partners with compensation guidelines, policies, or collective agreements within the client group(s) following best practices, guidelines, and processes established by Human Resources.
  • Supports the philosophy and structure of the University of Calgary compensation and classification (job leveling) process and total rewards program, to ensure consistency across the University.
  • Assists with job profile process to ensure profiles accurately capture the requirements and accountabilities of positions to support employee attraction and retention efforts.
Employee and Labour Relations:
  • Supports the Senior HR Partners/HR Partners with employee and labour relations support within the guidelines of the university, the Collective Agreements, the Alberta Labour and Human Rights Laws and any other applicable legislation in order to reduce risk associated with potential grievances.
  • Assists with preparation, research and planning for grievance hearings, workplace investigations, disciplinary meetings, and termination meetings.
  • Interprets and applies Collective Agreements and relevant legislations and communicates pertinent information to Senior HR Partners/HR Partners as needed.
Qualifications / Requirements:
  • University degree in a related field plus a minimum of three (3) years related experience in a human resources generalist role. An equivalent combination of education and experience may be considered.
  • CPHR designation or willingness to obtain designation, considered an asset.
  • Knowledge of best practice in Human Resources areas such as Employee and Labour Relations, Talent Management and Organizational Development, Compensation and Total Rewards, Staff Wellness and Disability Management.
  • Knowledge of applicable Human Resource legislation, policies, processes and practices. (i.e. Public Services Employee Relations Act, University of Calgary and AUPE Collective Agreement, TUCFA Collective Agreement, Employment Standards Code, Freedom of Information and Protection of Privacy Act, Human Rights Legislation, Occupational Health and Safety Act).
  • Demonstrated effective skills including problem solving, communication, change management, relationship building, teamwork, consulting/advising, negotiating/influencing, analytics and decision making.
  • Computer skills (strong proficiency with Word, Excel, PeopleSoft or other HRIS).
  • Commitment to continuous learning and improvement.
