SCOPE



Reporting to the Manager, Faculty, the incumbent ensures that academic personnel collective agreements, policies and procedures are understood and adhered to. The incumbent coordinates the administration of the collective agreements, its critical paths and monitors and issues part-time faculty and teaching assistant contracts.



PRIMARY RESPONSIBILITIES



o Advise faculty and staff on the application of academic personnel collective agreements and University as well as faculty-level policies and procedures.


o Prepare critical paths as per collective agreements and distribute to all faculty members; ensure that all stakeholders respect deadlines.


o Collaborate with department chairs and administrators with regards to faculty relations activities and processes (hiring, workload, sabbatical, etc.).


o Coordinate, monitor and maintain records of documentation and information related to collective agreements; e.g. course remission, workload, banked credits, course assignments, reserve courses, stipends, TA contracts, etc.


o Manage reserve course allocation and coordinate with departments and programs, while respecting the collective agreements.


o Update guidelines, checklists and templates related to reappointment, promotion, performance evaluation, tenure, sabbatical, etc.; and distribute to faculty members and departments.


o Prepare documentation related to academic personnel matters for the Dean's and Associate Dean's approval and signature (correspondence, contracts, reports, etc.). Coordinate process and distribution with JMSB academic departments and programs, Provost's Office, Office of Research, Vice President Research and Graduate Studies (VPRGS), etc. Ensures that information is properly communicated and recorded.


o Update, validate and approve part-time faculty, TA contracts and other documents related to collective agreements (course coordination, seniority, and classification, etc.).


o Coordinate and track job postings with departments and Provost's Office; job ads (posting, dissemination, removal), position codes, filing.


o Provide information to academic visitors and special appointments. In collaboration with appropriate offices (Budget, Facilities, CIT, etc.), act as first point of contact and provide support.


o Track sabbatical, moving and immigration expenses; approve expense reports; and keep track of information for reporting and accreditation purposes.


o In collaboration with Department Assistants, oversee hiring ads and job postings for invigilation.


o Provide training, guidance and support for faculty relations and accreditation data management systems (FRIS, ACADEM, HRIS, etc.). Act as resource person to members of JMSB.


o Prepare reports on academic personnel for internal and external reporting. Gather, analyze and synthesize data for accreditation, special projects and initiatives as requested by the immediate supervisor.


o Organize, attend and document all activities leading to and following the meetings of various accreditation and faculty relations-related committees (agendas, notices, minutes, preparation of dossiers, follow-up, memos, and responses to inquiries).


o Keep track of and communicate information regarding collective agreement milestones; e.g. sabbatical, probationary members, contract renewal, etc.


o Undertake other duties in support of the Unit and the Faculty.



QUALIFICATIONS



o Bachelor's degree with two to four years of relevant work experience in an academic setting.


o Knowledge of and experience applying collective agreements and complex University policies and procedures.


o Working knowledge of the CUFA, CUPFA, TRAC and Invigilators Collective Agreements is desirable.


o Good knowledge (Level 4) of spoken and written English in order to draft reports and recommendations. Good knowledge (Level 4) of spoken and written French in order to discuss or explain policies and prepare short, routine correspondence, as well as, give explanations.


o Advanced knowledge of Word and Excel; good knowledge (Intermediate level) of Outlook, Access, PowerPoint, and Adobe Acrobat DC; familiar with computerized information systems.


o Excellent communication and interpersonal skills: ability to deal effectively with staff and faculty.


o Demonstrated organizational skills.


o Proven writing, analytical, and problem-solving skills.


o Ability to work autonomously, and as well as part of a team.


o Ability to work under pressure and meet tight deadlines.


o Extremely conscientious with meticulous attention to detail.


o Working knowledge of Concordia policies and procedures and experience with FRIS and HRIS are assets.
