POSITION SUMMARY
The Advancement Officer, Project and Prospect Management, supporting major gift fundraising--strategy, planning, research, liaison, coordination, and information management in ARBOR-plays a vital role in advancing USMC's fundraising and engagement activity.
Working closely with the Executive Director, Advancement, the Advancement Officer, Project and Prospect Management, coordinates strategy and supports to enable the Executive Director's and Director of Development's major gift work, coordinates Advancement 'USMC Road Shows' including attendance where warranted, manages vital advancement projects including newsletters and contributions to the Alumni magazine, and special projects as applicable, represents Advancement with select constituencies from time to time such as the Friends of the Kelly Library, supervises Work Study students, and assists the Executive Director as necessary in support of Advancement priorities.
RESPONSIBILITIES
Supports Major Gift Fundraising:
+ Participates in prospect review and strategy sessions
+ Prepares research profiles and briefing documents
+ Coordinates prospect research activity
+ Assembles briefing documents, researching prospects and generating reports from ARBOR
+ Coordinates details for meetings and visits
+ Assists in scheduling and planning meetings
+ Liaison with DUA to promote effective coordination with centralized processes and resources
+ Maintains ARBOR entries related to Major Gift fundraising on behalf of the Executive Director
+ Updates donor records as necessary
Regional Advancement Activity
+ Coordinates 'USMC Road Shows' including receptions, lectures, and meetings
+ Coordinates event logistics
+ Coordinates the preparation of program materials
+ Supervises trip details
+ Generates reports from ARBOR to create mailing/invitation lists, and distributes invitations
+ Coordinates attendance and post-event follow up
+ Some travel is required
+ Communicates engagement data as necessary to ensure coding in ARBOR
Special Projects
+ Representing the Advancement team with key constituencies, as applicable
+ Sourcing and acquiring high quality merchandise for VIP gifts on an ad hoc basis
Work Study Students
+ May be called on to supervise work study students including coordinating interviews, assigning work and managing timesheets
Team
+ Ensures work product is documented in shared files
+ Writes and proofreads documents and correspondence
+ Other duties as assigned
QUALIFICATIONS
Education
+ Undergraduate Degree or College Diploma or an equivalent combination of education and experience
Experience and Skills
+ 3-4 years experience in fundraising or not-for profit environment an asset
+ Familiarity and experience working with a database; knowledge of ARBOR an asset
+ Proficient computer skills and the ability to work with Microsoft Office software including Word, Excel, PowerPoint, and Outlook
+ Excellent communications, writing and editing skills
+ Familiarity with social media platforms
+ Ability to work in a fast-paced, high-volume, and results oriented environment
+ Strong project management skills and the ability to manage multiple priorities with competing deadlines
+ Demonstrated ability to analyze and synthesize data from a wide variety of sources, and present the resulting information in a clear, concise format
+ Strong interpersonal skills and enthusiasm for collaboration and team work
+ Attention to detail
+ Diplomacy and Tact
