UTS is looking for a full time Admissions Assistant to support the school's Admissions and Outreach programs. In this role you report to the Director of Admissions and work closely with and the guidance of the Senior Officer of Admissions to provide essential administrative, operational, and event support to the UTS Admissions and Outreach initiatives, and other school operations. The successful candidate will be a proactive, organized, personable, and professional individual who thrives in a fast-paced, mission-driven environment. This role requires someone who can represent the school with discretion, empathy, and cultural awareness in all interactions with prospective students, families, and stakeholders. Your duties will include;

Admissions

Providing a professional welcome as the first point of contact for prospective students and families, providing timely and informative responses. Supporting the coordination and execution of key admissions events (e.g., school tours, information sessions, assessment days), including evening and weekend support as required. Liaising with internal departments and faculty to support a collaborative admissions process from application to enrollment and orientation Assisting in processing applications and maintaining accurate and confidential records using admissions platforms. Assisting with data management, reporting, and continuous improvement efforts. Preparing edits, and proofreads correspondence, presentations, and reports to support admissions strategy and communication. Reviewing and coordinating updates of admissions marketing materials and website with the school's Communications Department to ensure accuracy of information. Supports special projects and performs other related duties as assigned by the Director.

Outreach



Supporting outreach and access initiatives, ensuring alignment with UTS' equity and inclusion goals. Coordinating logistics and scheduling for student recruitment and community engagement events. Providing evening and weekend support for outreach events as required.

School Operations

Providing relief support to the Main Office, Student Services and camp programs

Qualifications




This role requires the ability to represent the school with discretion, empathy, and cultural awareness in all interactions with prospective students, families, and stakeholders. The incumbent must be a proactive, organized, personable, and professional individual who thrives in a fast-paced, mission-driven environment.
The ideal candidate for this position will be well-balanced, warm, and highly collaborative with strong interpersonal skills and an ability to interact well with students, parents, teachers, and other colleagues. In addition, the candidate will have:

Education:

College certificate (3 years) with an administrative focus, or acceptable equivalent combination of education and experience.

Experience:

Two to three years of experience in an administrative or client-facing role, preferably in an educational setting.

Other

:

Must be punctual with excellent organizational skills with attention to detail. Must demonstrate proficiency with student information databases (e.g., PowerSchool), Microsoft Word and Excel, as well as the Google platform; Must be able to adapt quickly to new software packages, software changes, and upgrades, and be willing to learn new data management systems and upgrade skills. Must be able to take initiative, adapt to changing priorities, be assertive in completing tasks in required time frames, and be flexible to handle a variety of activities concurrently; Must possess; + Exceptional interpersonal, organizational, written, and oral communication skills.
+ Excellent interpersonal skills, exercising professionalism and discretion at all times.
+ Ability to exercise judgment, particularly concerning confidential matters.
+ Ability to exercise diplomacy when dealing with staff, students, and/or their parents.

WORKING CONDITIONS AND COMPENSATION

Hours of Work:

8:30 a.m. - 4:45 p.m.,flex time and occasional overtime and some weekend work is required

.

This is a frontline position and does not qualify for a hybrid work option.

Pay Scale Group & Hiring Zone:

This position is a continuing unionized (USW) position with Pay Band 9 at a start rate of $66,139 with an annual step progression to a maximum of $84,581. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
