Job Description

The Admissions and Registration Officer provides service to applicants and admitted students by performing admission and transfer credit evaluations, validation and assessment of academic documents, support and assistance for course and program registration, establishing student records in an enterprise relational database, and communicating with applicants and admitted students, as well as other internal and external stakeholders, regarding admissions, transfer credits and registration through a variety of media including, but not limited to, in-person, email, relationship management technologies, phone, written correspondence, web content, etc. The Admissions and Registration Officer is among the first points of contact prospective students have with TRU. Professional judgment and diplomacy is paramount.





MAJOR DUTIES & RESPONSIBILITIES


Makes admission and transfer credit decisions for applicants to a wide range of programs in accordance with both internal and external policies, procedures and best practices by performing assessments, evaluations and validation of academic documents.

Communicates with applicants/students throughout the application process regarding requirements, application status, next steps, and admission decisions using a variety of tools including, but not limited to, email, Customer Relationship Management (CRM) software, print, in-person. Uses professional judgment and interpretation of enrolment data to prioritize work and make recommendations for process improvements in alignment with institutional strategic enrolment goals and objectives.

Compiles functional and annual enrolment reports for Enrolment Services supervisors/managers and stakeholders in other business units and faculties.

Supports and assists with the registration of students in a wide range of programs by applying various procedures, resolving scheduling conflicts and explaining fee and refund structures.

Informs and guides other stakeholders on admission processes and policies including academic faculty, department and program personnel as well as staff from Student Recruitment, Advising, Records, Student Awards and Financial Support, Audit and Articulation, and other administrative units to ensure enrolment processes are coordinated and seamless for students.

Creates, maintains and verifies student files and records relating to admission and registration for internal and external use.

Maintains current knowledge of Senate policies, admissions and registration procedures, TRU Calendar content, transfer credit articulations, accreditation agreements and related procedures, and applies them in day-to-day operations.

Modifies and maintains electronic and printable information regarding applications, admission processes and procedures, transfer credit, and registration for a wide range of programs.

Responds to email, telephone and in-person inquiries about applications, admissions, transfer credit and registration, and resolves day-to-day problems in these areas.

Assembles and maintains resource material including calendars, manuals and records; and maintains confidentiality of documents and records.

Assists in the training and coordination of other Enrolment Services staff by providing instruction and assignment to specific tasks/situations.

Provides administrative support such as producing notices, staff meeting and training notes, as well as record-keeping.

QUALIFICATIONS
EDUCATION:


Grade 12 plus an Associate Degree, 2 year diploma, or equivalent post-secondary education




EXPERIENCE:


Five years' related experience in a post-secondary institution or related environment, including one year experience with an enterprise relational database, word processing, spreadsheets, reporting software, and academic transcript/credential assessment




SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB


Ability to plan, organize and prioritize tasks and meet deadlines, maintaining accuracy and attention to detail Demonstrated ability to work well under pressure and deal courteously and tactfully with students, staff, faculty and members of the general public, both verbally and in writing Knowledge of high school and post-secondary education systems in Canada Ability to authenticate and understand academic transcripts from domestic and international sources Demonstrated ability to work with an enterprise relational database (e.g. Banner) Demonstrated ability to generate and interpret database reports Intermediate level of ability using Word and Excel Ability to perform alphanumeric data entry at 90 net keys per minute Ability to use policy and departmental procedures to problem solve day-to-day issues Ability to operate office equipment such as printers, scanners, fax machine and photocopier Ability to work independently as well as part of a team Maintains and contributes to a positive and respectful workplace environment
