Working for the Faculty of Medicine & Dentistry The Undergraduate Medical Education office in the Faculty of Medicine & Dentistry supports students in a four-year program leading to the degree of Doctor of Medicine (MD). Position Reporting to the Admissions and Academic Records Coordinator, the Admissions Administrator assists in the process, evaluation and selection of applicants to the MD Program. The incumbent responds to inquiries from prospective and current applicants by providing accurate information regarding admission requirements. The Admissions Administrator is responsible for MD Admissions related data analysis, supports admissions research and statistical analysis. Duties
  • Ensures University and Department admission guidelines are followed
  • Responds to inquiries from prospective applicants, school counselors, parents, university community, professional community regarding requirements to be considered for admission, course equivalencies, document deadlines, etc. via phone calls, emails, and in-person inquiries
  • Refers students to appropriate sources within the University or other institutions as required
  • Advises and provides assistance on application requirements, test requirements, transcripts, personal activities, program choices, volunteering, application status, receipt of documents, outstanding items, etc.
  • Updates files for transcripts, school attendance, residency
  • Selects candidates for interview based on a complex ranking structure
  • Invites candidates for interview via Slate\xe2\x80\x99s event registration
  • Schedules candidates, interviewers and volunteers for interview
  • Assists with all functions related to the preparation for MMI
  • Create, update and prepare interview documentation for all participants
  • Assist and participate in interviewer, volunteer, candidate and staff training
Minimum Qualifications
  • Post-secondary education in education or statistics; a combination of education and/or experience will be considered
  • Minimum of 5 years administrative experience in a post-secondary educational setting supporting student services, program delivery, learning management systems, and teaching and learning
  • Preference given to those with experience in admissions and/or statistical data and analysis
  • Exceptional organizational skills with the ability to multi-task and set priorities while keeping close attention to detail
  • Superior oral and written communication, interpersonal and relationship-building skills; strong commitment to client service with a positive, professional approach
  • Excellent proofreading skills for all functions related to admission of applicants to the Medicine Program
  • Proficiency in Microsoft Office and Google Suite
  • Extensive knowledge of computers, educational technology, web page maintenance, Slate, Campus Solutions, SPSS and Photoshop
Preferred Qualifications
  • Knowledge of university admission policies would be an asset
