Dawn Therapy is a professional and compassionate psychotherapy clinic dedicated to supporting the mental well-being of our clients. Our therapists provide a safe, welcoming space for individuals, couples, and families. We are looking for a friendly, organized, and detail-oriented Front Desk Administrator to be the first point of contact for our clients and a valued member of our team. This is an in-person position which requires the candidate to be punctual.
Key Responsibilities:
Greet clients with warmth and professionalism, in person and by phone
Manage phone calls, emails, and client inquiries promptly and courteously
Schedule, confirm, and adjust client appointments using our booking system
Process payments, issue receipts, and keep accurate financial records
Maintain confidentiality in accordance with PHIPA and privacy regulations
Assist therapists with administrative tasks and clinic coordination
Keep the reception area tidy, organized, and welcoming
Support both in-person and virtual appointment arrangements
Qualifications & Skills:
Experience in a front desk, administrative, or customer service role (healthcare or mental health setting preferred)
Excellent communication and interpersonal skills
Strong organizational skills and attention to detail
Proficiency with computers, scheduling software, and Microsoft Office/Google Workspace
Professional, calm, and empathetic demeanor
Ability to handle confidential information with discretion
Flexible availability; openness to transitioning to full-time hours
Hours:
Part-time: 8-16 hours per week
Potential to become full-time based on clinic needs and performance
Compensation:
$18-$20 per hour, based on experience
