Purpose of the Role
The main duties of the Administrator, Office Services are to handle the distribution of mail and to perform administrative tasks pertaining to a mailroom as well as provide support to the Office Services Coordinator on Facilities related tasks. The Administrator, Office Services will be expected to provide exceptional service in English (French is considered an asset) to internal stakeholders in-person, via telephone and through e-mail correspondence.
This is a permanent, full time opportunity and will require the successful candidate to work on-site Monday to Friday, 9:00am - 5:00pm.
Key Responsibilities
Mail Room & Copy Centre DutiesProcess incoming and outgoing mail and courier packages
Respond to requests from employees and lawyers
Make photocopies
Print documents
Bind documents
Scan documents
Process incoming and outgoing faxes
Change toner and fix paper jams
Facilities
Support the Office Services Coordinator with the following:Boardroom/lounge preparations for meetings and events
Submit workorder requests to landlord related to premises related issues (eg. Temperature, lighting, cleaning etc)
Assist with office and workstation moves
Prepare offices and workstations for BLG personnel visiting from other BLG offices and new hires
Prepare security access passes
General office furniture maintenance and repairs
Key CompetenciesA minimum of one year of experience in customer service, administration, or a related field
Excellent oral and written communication in English (French is an asset)
Flexibility, sound judgment and a can-do attitude
Excellent interpersonal and client service skills
Ability to work in a team environment
Proficient keyboarding skills and proficiency with Windows and MS Outlook and Word software
Ability and comfort to be trained in and adhere to emergency response procedures
