The School of Dentistry has been at the University of Alberta since 1917 and is part of the Faculty of Medicine and Dentistry and the College of Health Sciences. The school serves an integral role in educating a part of the healthcare workforce in Alberta and beyond.
The school offers undergraduate programs in Dentistry, Dental Hygiene and Dental Assisting. We offer graduate programs in Dentistry, Dental Hygiene, Oral Biology, Oral Medicine, Orthodontics and Periodontology.
There are 24 Faculty, 42 Academic Teaching Staff (ATS), and 115 Excluded Academic staff, that are supported by the Student & Academic Services unit.
Our Mission: Improving the health of the people of Alberta and beyond through leadership in oral/maxillofacial health care, education, research/scholarship and providing service that is responsive to social need.
The ACFD Administrator is responsible for managing all aspects of program administration for the Bridge Training to Dental Practice in Canada Program. This includes coordinating timetables, scheduling, student orientation and enrollment, exam administration, grade management, and Learning Management System (LMS) support. The role also oversees clinical instructor scheduling and provides administrative support for program meetings.
The Administrator works closely with faculty, clinical instructors, students, and the Student & Academic Services team to ensure seamless program delivery.
Strong organizational, communication, and technical skills are essential, along with the ability to work independently, manage multiple priorities, and adapt to evolving needs. This position provides direct support to the Director, Bridge Training to Dental Practice in Canada Program.
Responsibilities:
Admissions & Student Support

  • Oversee the admissions process, including inquiries, document verification, interview coordination, and offer tracking.
  • Provide administrative support to the Admissions Committee, including meeting coordination and follow-ups.
  • Act as the primary student contact, monitoring progress, attendance, and module completion.
Teaching, Learning & Program Administration
  • Develop and manage academic schedules, timetables, clinic schedules, and room assignments.
  • Administer Learning Management Systems (LMS), including course content, assessments, gradebooks, and troubleshooting.
  • Assist faculty with instructional materials, evaluations, and curriculum-related projects.
  • Coordinate classroom, lab, and clinical setups, ensuring smooth program delivery.
  • Support onboarding and scheduling of clinical instructors.
Examinations, Evaluations & Accreditation
  • Schedule, coordinate, and proctor exams, ensuring compliance with policies.
  • Manage student performance data, grade submissions, and assessment systems.
  • Support accreditation processes by compiling documentation and coordinating site visits.
Administration, Finance & Operations
  • Provide administrative support to the program director, including scheduling and correspondence.
  • Process financial transactions, reconcile payments, and manage tuition submissions.
  • Maintain program websites, manuals, and educational resources.
  • Organize program events, orientations, and committee meetings.
Qualifications:
  • Minimum University degree.
  • A minimum of 2 years experience in a post-secondary environment required, preferably within post-secondary student services/admissions, student advising and with interpreting and applying policies
  • Proficiency using MS and Google Suites and online meeting platforms (Zoom); working knowledge of PeopleSoft Systems, and LMS.
  • Demonstrated ability to adapt to changing technology, proactively seeks to enhance skills
  • Well-developed planning and organizational skills; ability to meet deadlines and prioritize activities.
  • Excellent communication (listening, oral and written) and interpersonal skills.
  • Accurate data entry skills; exceptional attention to detail and precision.
  • Strong commitment to confidentiality and professionalism.
  • Ability to multitask in a fast paced and diverse work environment.
  • Ability to interact effectively and professionally with diverse stakeholders, both internal, external, and student.
  • Ability to work independently and effectively under tight deadlines in a team environment.
