Description : Sous la responsabilit\xc3\xa9 de la Gestionnaire - Biblioth\xc3\xa8que, le ou la titulaire du poste de secr\xc3\xa9taire d\'unit\xc3\xa9 administrative effectue diverses t\xc3\xa2ches de secr\xc3\xa9tariat habituellement associ\xc3\xa9es \xc3\xa0 la direction d\'un service; Responsabilit\xc3\xa9s g\xc3\xa9n\xc3\xa9rales et objectifs : Le/la titulaire du poste assure l\'ex\xc3\xa9cution des principales activit\xc3\xa9s suivantes :

  • Re\xc3\xa7oit le courrier, en prend connaissance et l\'achemine \xc3\xa0 qui de droit.
  • R\xc3\xa9dige et signe de la correspondance d\'ordre g\xc3\xa9n\xc3\xa9ral et non technique, telles que r\xc3\xa9ponses \xc3\xa0 des demandes d\'information.
  • S\'assure que la correspondance \xc3\xa0 exp\xc3\xa9dier est compl\xc3\xa8te et ne contient pas d\'erreurs de frappe, de grammaire, de syntaxe et d\'orthographe.
  • Re\xc3\xa7oit, loge et transmet les appels t\xc3\xa9l\xc3\xa9phoniques; accueille les visiteurs; obtient et donne l\'information disponible.
  • Tient l\'agenda de son sup\xc3\xa9rieur.
  • Fait des arrangements relatifs aux d\xc3\xa9placements de son sup\xc3\xa9rieur (transport), h\xc3\xa9bergement, avance de fonds, compte rendu de d\xc3\xa9penses, etc.
  • Effectue la pr\xc3\xa9paration mat\xc3\xa9rielle de r\xc3\xa9unions, et proc\xc3\xa8de aux convocations.
  • Assiste \xc3\xa0 des r\xc3\xa9unions, prend note des d\xc3\xa9lib\xc3\xa9rations et dresse les comptes rendus ou les proc\xc3\xa8s-verbaux.
  • Recueille et collige des donn\xc3\xa9es en provenance de diverses sources.
  • Effectue diverses autres t\xc3\xa2ches de secr\xc3\xa9tariat et d\'\xc3\xa9critures simples; utilise l\'\xc3\xa9quipement usuel de bureau.
  • Effectue, sur demande, toute autre t\xc3\xa2che connexe. Exigences du poste : Le/la titulaire doit d\xc3\xa9tenir un dipl\xc3\xb4me d\'\xc3\xa9tudes professionnelles associ\xc3\xa9 \xc3\xa0 un programme d\'\xc3\xa9tude dans le secteur appropri\xc3\xa9. L\'emploi n\xc3\xa9cessite deux (2) ann\xc3\xa9es d\'exp\xc3\xa9rience dans un travail permettant de se familiariser avec la nature de l\'emploi ou toute autre combinaison de scolarit\xc3\xa9 et d\'exp\xc3\xa9rience jug\xc3\xa9e \xc3\xa9quivalente selon la politique \xc3\xa9tablie.

  • Connaissance de la r\xc3\xa9daction de proc\xc3\xa8s-verbaux, de la saisie au clavier et de la disposition des textes et des pratiques g\xc3\xa9n\xc3\xa9rales du travail de bureau et de secr\xc3\xa9tariat
  • Capacit\xc3\xa9 \xc3\xa0 transcrire des donn\xc3\xa9es avec une grande pr\xc3\xa9cision et une attention aux d\xc3\xa9tails, ainsi qu\'une habilet\xc3\xa9 \xc3\xa0 d\xc3\xa9tecter les erreurs. 35 heures par semaine

Description: Reporting to the Library Manager, the jobholder performs a variety of administrative, clerical and general support tasks for departmental staff. General responsibilities and goals: The jobholder\'s main responsibilities are as follows:
  • Receive and review incoming mail and forward it appropriately.
  • Draft routine correspondence.
  • Perform error-checking on outgoing correspondence.
  • Track documents and follow up on deadlines, reminding the persons concerned as necessary.
  • Receive, make and redirect telephone calls; welcome visitors; obtain and give out available information.
  • Keep the calendar of her or his direct manager.
  • Make travel arrangements for her or his direct manager (transportation, accommodations, cash advances, expenditure reporting, etc.).
  • Make material preparations for meetings and convene them.
  • Attend meetings; take note of the proceedings and write reports or draft minutes.
  • Collect and compile data from various sources.
  • Perform various other secretarial and simple writing tasks; operate standard office equipment.
  • Perform any other related task. Job requirements: The applicant must hold a vocational diploma in an appropriate study program any other combination of education and experience found equivalent under the established policy. Two (2) years of experience in a similar position are required for this job.
Other requirements:
  • Bilingualism and a good knowledge of English and French grammar
  • Knowledge of Word, Outlook, Excel
  • Knowledge of Kronos will be considered an asset
  • Well-developed organizational skills
  • Interpersonal and customer service skills
  • Knowledgeable in drafting minutes, in typing and formatting documents, and in general office and secretarial work practices
  • Ability to transcribe data with great precision and attention to detail as well as ability to detect errors Schedule: 35 hours per week
For the period between Thanksgiving and the first (1st) Monday of May: Monday to Friday inclusively, 8:30 a.m. to 4:30 p.m., minus one (1) hour for lunch.

For the period between the first (1st) Monday of May and Thanksgiving: Monday to Thursday inclusively, 8:00 a.m. to 4:30 p.m., minus forty-five (45) minutes for lunch; Friday, 8:00 a.m. to noon.
