Your Opportunity:

The Administrative Support V is an advanced position supporting the Pediatric Medicine program. Working with minimal guidance and direction, the Administrative Support V will be responsible for: calendar management - arranging meetings, booking rooms and prioritizing requests; independently preparing documents and presentation materials; providing direct leadership and training to administrative positions within the portfolio; preparing business documents for internal and external use; creating, implementing and maintaining work processes for the program related to finance, procurement and recruitment; create finance and program reports including the development of data collection tools, analysis of data and creation of reports; completing financial activities such as invoice reconciliation & redirection if required, coding of invoices & processing of expense claims, and monitoring variance in operating budget; and support employee recruitment processes for the portfolio. Additionally, the Administrative Support V uses discretion to address and escalate issues or problems where there may not be established processes or guidelines. The incumbent must exercise critical thinking, discretion and independent decision making across the spectrum of their responsibilities.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration). Additional Required Qualifications:

Advanced working knowledge of Microsoft Office suite (Outlook, Word, Excel, Visio, PowerPoint etc). Minimum typing speed of 60 words per minute with excellent accuracy. 3-5 years\' experience in an intermediate or higher administrative support capacity required. Excellent proofreading, formatting and grammar skills. Proven ability to produce high quality work, excellent organizational and time management skills. Proven ability to recognize and handle confidential information in a professional manner. Proven ability to work independently with frequent interruptions and multi-task under pressure. Preferred Qualifications:

Experience working in a high-volume, time-sensitive environment. Excellent critical thinking skills. Ability to recommend and implement changes to procedures or work practices. Working knowledge of RMS, ePeople, and Markview is an asset.
