Keystone Child, Youth & Family Services is a dynamic, not-for-profit organization and the designated Lead Agency for Children's Mental Health in Grey and Bruce Counties. Since 1974, we have been dedicated to supporting children, youth, and families by delivering compassionate, responsive mental health services.
At Keystone, we provide a full continuum of services, including counseling, prevention and well-being programs, short-term live-in treatment, crisis stabilization, youth justice services, and special needs programming. Our focus on coordinated access ensures that every child and youth aged 0-17 receives tailored, multi-disciplinary care to meet their unique needs.
Keystone is seeking an organized and dependable Administrative Support professional to provide clerical and scheduling support to our Live-In Treatment (LIT) and Owen Sound programs.
This full-time role (35 hours/week) includes occasional evening and weekend work and plays a key part in ensuring smooth program operations, accurate documentation, and readiness for licensing and accreditation. Working closely with program managers and supervisors, the Admin Support helps keep teams organized, schedules updated, and records maintained -- contributing to the overall effectiveness of our youth-focused programs!
Responsibilities:
Scheduling Support:
Maintain and update the Live-In Treatment staff schedule under the direction of the Manager or Supervisor.
Record and communicate shift changes, coverage updates, and vacation or sick call adjustments.
Ensure posted schedules are accurate and distributed to the team as required.
Assist with booking internal meetings and preparing meeting materials.
Documentation and Record Support:
Assist staff in organizing and uploading documentation into client electronic files.
Support the entry and maintenance of basic client information in EMHware.
Prepare and maintain paper and digital filing systems to keep records organized and accessible.
Type, proofread, or format reports and meeting minutes as requested.
Licensing and Accreditation Assistance:
Gather and organize required materials for residential licensing and accreditation (e.g., policies, checklists, training records).
Maintain organized binders or folders for inspection readiness.
Support program staff by tracking requests for missing or updated documents.
General Administrative Duties:
Provide day-to-day clerical support to the Live-In Treatment program (printing, photocopying, data entry, supply ordering).
Record minutes for team meetings and case reviews.
Coordinate small purchases or office supply orders as directed.
Assist with organizing events, training days, and file reviews.
Skills:

Able to manage multiple small tasks and adapt to changing priorities.
