Please note: This is a temporary position for approximately one year. It is a hybrid role with the requirement to work in the office one day a week, plus an additional day every 2nd week. During the initial orientation phase, additional in-office days may be required.

Your role

In this position you will be providing specialized administrative and clerical support to the Managers handling the Digital portfolio in the Business & Rights department (as well as to the Director on occasional files). Your work may involve coordinating the activities of others inside or outside the units.

Key Tasks:

  • Manages and coordinates the confidential schedule of Managers (and where required, the Director), including handling and filing of highly sensitive correspondence and reports.
  • Assists Managers in preparing and formatting highly confidential documents and presentations, and tracking contract deliverables.
  • Responsible for expediting contract execution and monitoring contract circulation to senior management, via Adobe Sign, and distributed signed contracts to relevant creative and support departments
  • Provides administrative support to CBC\xe2\x80\x99s AccessCBC Fund, a program for Deaf and disabled creators that will provide training, mentorship and, on certain selected projects, financing support, to create scripted and documentary content. Support involves liaising with external organizations and individuals, as well as internally, with utmost attention to meeting varied accessibility needs of meetings and materials (for example, arranging ASL services for online meetings)
  • Schedules meetings, reserves meeting rooms and preps audio-visual systems as necessary, for hybrid meetings and presentations, which may involve using Zoom, Google Meet, or other services.
  • Creates, updates and maintains databases, filing systems and tracking systems including those supporting Programming, Media Solutions, and spreadsheets that must be cross-referenced with data from agencies like the Canada Media Fund. Adapts to changing requirements; and provides advice and guidance to users
  • Compiles and updates information and prepares reports, either as part of routine reporting requirements or in response to special requests
  • Investigates departmental or administrative problems within an area of expertise. Engages in problem-solving and either implements, if within accepted parameters, or recommends a course of action to the appropriate level of authority.
As required, performs the following tasks:
  • Provides interpretation and/or clarification to employees, managers and/or clients, including independent production community, regarding policies and procedures within area of expertise.
  • Codes and verifies accounting documents, analyzes financial information, and prepares statistical data.
  • Assists in the design of research projects, compiles data, manipulates the data, and designs charts, graphs and tables for presentation.
  • Drafts correspondence confirming receipt of deliverables and other information based on departmental, Corporate, CRTC, or external funder requirements
  • Constructs and prepares individual contracts using existing templates, including entering fully executed contracts into CBC systems such as PCMS Livelink. As required, researches and gathers data from department files, the requesting department, Human Resources, Finance, or other sources.
Qualifications

We are looking for a candidate with the following:
  • The position requires graduation from Community College or the equivalent and at least two years\' of directly related experience.
  • Experience meeting the communication needs and preferences of diverse populations, particularly with regards to accessible communication tools and content for disabled creators and producers.
  • Ability to work effectively under stress, with an ability to concentrate and pay attention to detail when operating under tight deadlines and with frequent interruptions.
  • Excellent skills in using Zoom and Google Meet features, including managing presentations within meetings and troubleshooting technical issues.
  • Aptitude for learning new software.
  • Strong Microsoft Office skills are required.
  • High level of discretion in handling sensitive and maintaining confidential information
  • Experience interpreting, drafting, and creating legal documents is required.
  • Must be well organized with a strong ability to prioritize multiple assignments.
  • Must have strong communication and interpersonal skills.
  • Bilingual in French and English is considered an asset.
