Your Opportunity:

This position is responsible for ensuring the efficient and effective operation of the respective physicians\' office and project activities for the assigned physicians. It supports the administrative activities related leadership roles along with research and education and supports all of the academic activities of the faculty member. It requires strong administrative secretarial skills to function in the two organizations U of C and AHS. The incumbent must be familiar with the policies, business practices, corporate applications and support infrastructure of two organizations and the complexity of managing the physicians\' activities between the two to be effective. This position must be able to recognize and resolve potential conflicts arising between the two organizations\' policies and practices. The incumbent works within a team environment, understanding the purpose, goals of the team and has the ability to bring forward ideas to assist the team. Using their experience and skill, the incumbent is expected to work independently exercising decision-making where the impact of error could be high. The variability of the medical staff members\' careers and their respective activities demands broad and flexible capabilities. Duties: Responding to inquiries. Service requests e.g., typing, obtaining articles via online database for research. Scheduling meetings across many different time zones. Disseminating information at the University of Calgary and Calgary Health Region. Financial payments and processing via the U of C. Schedules. Calendar Management. Meeting Management. Onboarding Fellows and Research Staff. Doodle polls. Digital filing system. Travel itineraries. Coordinate events. Assist with annual research reports. AROS/AIR CVs. Central room bookings - booking meeting rooms. ROCA. Other tasks as requested.

Required Qualifications:

Some post-secondary education. Additional Required Qualifications:

Medical Office Assistant Certificate from an accredited educational institution. Minimum 3 years of recent experience providing administrative support to physicians. Experience with The University of Calgary Accounting systems. Advanced proficiency in Microsoft Windows 10 and Microsoft Office 2016 (Outlook, Word, Excel). Advanced proficiency with document management including scanning documents as well as creating and editing PDFs (Adobe). Accurate typing skills - minimum 60 words per minute. Excellent English communication skills; written and oral. Key Competencies: Creativity, innovation, enthusiasm, and respect. Resilience and flexibility, specifically the ability to work under pressure. Excellent organizational skills: ability to manage and prioritize work effectively. Strong problem-solving and conceptual skills. Ability to deal with issues in a sensitive and confidential manner. Self-directed and able to work under minimal supervision.
