MacEwan University is seeking an Administrative Support III for a 21-month full-time replacement term opportunity with the Faculty of Fine Arts and Communications.
This position exists to provide administrative support to the Faculty of Fine Arts and Communications, primarily for the Department of Music. The position is part of a small team of administrative staff who provide support services for the faculty.
Key responsibilities include:
Providing administrative support for the Department of Music, including preparing routine communications, monitoring and responding to email; preparing and reviewing a variety of departmental documents; pulling queries and reports from PeopleSoft to support decision making; managing distribution lists (students, faculty, external); maintaining, organizing, and archiving files; and communicating on behalf of the Chair and other department members;
Performing season-specific tasks, including preparing documents to hire casual employees and contractors; processing payments; ordering textbooks and other supplies; requesting keys for faculty/staff; tracking enrollment in classes; assisting with preparation for concerts, performances, juries, and other program events; assisting with Open House and information sessions; and
Providing administrative and logistical support for department meetings and events as needed, including ordering signage and other printed materials; scheduling meetings; assembling agendas; booking meeting spaces, accommodation, parking, and travel; preparing and distributing itineraries; and taking minutes.
SKILLS
You will have:
Proficiency in general office duties;
Proficiency in business software (Microsoft Office Suite, Google Suite); proficiency with PeopleSoft is considered an asset;
The ability to communicate effectively verbally;
The ability to work independently, prioritize tasks, and complete them on time;
Excellent organizational skills and attention to detail;
Critical thinking skills and good judgement;
An openness to new technology and processes;
The ability to work in a professional manner with a wide range of people and roles;
Proficient grammar, writing, and proofreading skills; and
Proficient interpersonal, communication, organization, and problem-solving skills.
QUALIFICATIONS
A minimum of an Administrative Assistant diploma or other post-secondary education.
A minimum of 3 years of administrative experience
Experience working in the post-secondary sector would be considered an asset.
An equivalent combination of education and experience may be considered.
