The Administrative Support will support program managers and clinical supervisors with administrative aspects of program and service delivery including provider scheduling, billing and activity tracking. This position also covers reception duties, referral processing, patient contact, and appointment booking as needed.
This is a full-time permanent position (37.5 hours per week).
Major Duties & Responsibilities:
Ensure practitioners complete onboarding paperwork and file accordingly
Assist with form submissions to Primary and Preventative Health Services (PPHS) and Primary Care Alberta (PCA)
Assist with practitioner and staff scheduling for After-Hours and Targeted clinics
Support participation of medical students and residents in PCN clinics and associated paperwork completion
Oversee continuity of care collaboration and associated physician rotation
Process fee-for-service billing
Complete tracking required for practitioners compensated through alternative relationship plans
Order clinical supplies at the request of program managers and clinical supervisors/staff
Monitor general supply needs (i.e. garbage bags, sterilization needs, etc.)
Assist with gathering evaluation and reporting data
Process Health information requests from patients, third parties and custodians
Assist with scheduling annual equipment certifications and related correspondence
Use electronic medical record (EMR) software and other computer applications to book appointments, process payments, or prepare reports, invoices, and financial statements
Scan, file, and email documents
Assist with record retention and maintenance
Assist with meeting coordination and documentation
Cover patient-facing administrative duties as needed
Other clerical and administrative functions as required
Required Skills & Abilities:
Proficiency in the use of computers and office equipment
Excellent oral and written communication skills
Ability to maintain accuracy while multi-tasking or working under pressure
Ability to follow directions closely and accurately
Ability to maintain patient privacy and confidentiality
Ability to deal effectively with the difficult behaviors sometimes exhibited by people in distress
Good organization and time management skills
Knowledge of primary care clinic operations is an asset.
Understanding of EMR software is an asset
Qualifications:
High School diploma required
Administrative assistant certificate required
Experience in a medical office is an asset
