Job Description


JOB DESCRIPTION The Corporation of the City of Orillia has an opening for the full-time position of Administrative Support located at the Wastewater Treatment Centre in the Environment and Infrastructure Services Department. DUTIES

  • Provide administrative support to the Department (i.e., Wastewater Treatment, Waste Diversion, Operations, Compliance, Pollution Control, Water Filtration), which includes word processing, entering data into spreadsheets, photocopying, scanning documents, filing, processing mail and courier packages.
  • Purchase Order Issuance, coordination of vendor health and safety, WSIB and insurance documentation, accounts receivable and payable processing, etc.
  • Provide reception duties for the department including answering the telephone and responding to inquiries at the front counter.
  • Coordinate and schedule City staff for customer requested locates, as well as track locates and update Ontario One Call website and distribute completed locates.
  • Drinking Water Quality Management Standard (DWQMS) and Wastewater Quality Management Standard (WWQMS) clerical support.
  • Assist with maintaining the department?s files using SharePoint and ensuring files are in accordance with the TOMRMS filing system. Responsible for improving the Department?s filing i.e., by scanning the Department?s files. Website and Intranet contributor duties.
  • Input payroll for the Electricians, Wastewater Treatment Centre staff and Water Filtration Plant staff within the Environment and Infrastructure Services Department (timesheets, balance Great Plains reports, reconcile and report staff hours of work).
  • Assist with maintaining water and wastewater licensing records.
  • Rotate mail duties with other administration staff to distribute mail between other Environmental Services locations within City limits.
QUALIFICATIONS
  • Two-year Community College diploma in accounting, business administration or related field.
  • Minimum one and a half years secretarial experience in a municipal environment; keyboarding at minimum 60 wpm.
  • Knowledge of Environmental Services processes an asset.
  • Excellent organizational, communication, judgment, interpersonal and time management skills with the ability to work in a team environment.
  • Ability to deal effectively and courteously with the public, staff and external agencies.
  • Excellent computer skills using MS Office applications, including Word, Excel, e-mail and the internet as well as Great Plains Financial system software, TOMRMS and SharePoint.
  • Must possess a valid Ontario class G driver?s licence with access to a reliable vehicle.
  • An acceptable Criminal Record Check is required for this position at the incumbent?s expense prior to the commencement date.
