JOB SUMMARY
Kwilmu'kw Maw-klusuaqn Negotiation Office (KMK) supports the Assembly of Nova Scotia Mi'kmaw Chiefs (Assembly) in negotiation and consultation processes and engages Nova Scotia Mi'kmaw communities on the best ways to implement our collective Aboriginal and Treaty Rights. KMK is seeking an Administrative Assistant, Cultural Tourism (Mi'kmawitasik) to assist with this important work.
Reporting to the Cultural Tourism Project Manager, Administrative Support, Cultural Tourism (Mi'kmawitasik) plays a vital part in ensuring the smooth operation of all administrative aspects related to the Cultural Tourism file. This will range from coordinating meetings and preparing agendas to managing communications and maintaining accurate records. The Administrative Support role will be the backbone of the team, supporting day-to-day efficiency.
DUTIES AND RESPONSIBILTIES
Coordinate and schedule meetings, events, and logistics including booking venues, accommodations, and catering services.
Prepare and distribute meeting materials such as agendas, binders, and minutes; accurately record and transcribe discussions.
Manage calendars and shared drives, track action items, and maintain organized documentation across Cultural Tourism files.
Respond to general inquiries via phone, email, or in-person, and direct communications to appropriate team members.
Submit monthly reports, process cheque requests for meeting participants, and ensure timely follow-up on administrative tasks.
Stay informed on committee activities to support accurate minute-taking and provide occasional administrative support across KMK as needed.
QUALIFICATIONS
High-school education, GED, or equivalent
Certificate or diploma in Office Administration, related training, or coursework is an asset
1-2 years of prior administrative experience and/or minute-taking preferred
Excellent computer skills including experience using Microsoft Suite
Excellent time management and organizational skills
Superior verbal and written communication skills
Ability to uphold a strict level of confidentiality and discretion.
Prior experience working with Mi'kmaw and/or Indigenous communities and organizations is an asset
CONDITIONS OF EMPLOYMENT
Must hold and maintain a valid NS driver's license. Travel throughout Nova Scotia will be required.
Potential for occasional work on weekends or evenings.
