Job Description


Duties and Responsibilities:
Ops and Sp Svcs Coy Admin Functions:

  • Update and maintain Coy document tracker.
  • Identify and track items that remain outstanding in the document tracker.
  • Create and maintain a filing system for Coy hard copy documents (with filing index that can be referenced by Coy HQ staff).
  • Maintain Coy Org Chard and Fan-out, ensuring contact details updated as required.
  • Minutes at Coy Meetings, including distribution.
  • In consultation with OC Ops and Sp Svcs Coy, play Coy events.
  • Send out meeting requests for Coy events as required.
  • Prepare Coy-level correspondence (welcome letters, RM closure letters etc.) for review by Coy HQ staff.
  • Special Order Forms for Coy purchases.

Wi-Fi:
  • Create and manage Wi-Fi accounts for Ops and Sp Svcs Coy members.
  • Translation: Compile documents for all unit translation requests.
  • Ensure documents meet the Translation bureau standards with regards to editing, images, comments/notes.
  • Submit requests and associated documentation to Translation Bureau.
  • Liaise with Translation Bureau regarding job status.
  • Maintain the Translation Tracker.
  • Retrieve and distribute translated documents to original requestor. Human Resources:
  • Fill out tombstone data in HR forms: HRRC, ECR, CARF, REO, JD.
  • Create HR files by position number, ensure all documentation associated with file is included for future reference.
  • Update HR tracker with new HRRC tickets (comments section to be updated by HR Manager).
    IAW direction from HR Manager, update unit Org Charts.
  • Admin support for P Res Hiring and Selection process (creation of files where required, double check Route Letter/SOU for proper completion, forward documents to finalize staffing to J1 Res Employment).

    Facility Management/Capital Project:
  • Support Facility Manager in completing Special Order Forms for classroom furnishings.
  • Develop tracker for office spaces (those not already tracked by RM/Darlene) and send to RM for their use in tracking office space.
  • Support OIC Sp Svcs, Sp Svcs NCO and 2IC as required with admin support to Capital Project (i.e. DVO mapping, building map updates).

    Volunteering for committees: as workload allows and with the permission of OC Ops and Sp Svcs.
    Additional support to other sections within the Coy as required in consultation with the OC and the section head (i.e. OpsO for Resource Management support).
