Overview


We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong organizational skills, a customer-focused attitude, and the ability to manage multiple tasks efficiently. Experience in a medical or dental office setting is a plus, as you will be supporting both administrative and clerical functions.

Responsibilities



Provide exceptional customer service and support at the front desk, managing inquiries and directing visitors appropriately. Handle multi-line phone systems, ensuring effective communication and phone etiquette. Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Assist with filing, organization, and management of office documents. Utilize Microsoft Office Suite and Google Workspace for various administrative tasks including typing, proofreading, and document preparation. Support bookkeeping activities using QuickBooks or similar software as needed. Maintain confidentiality of sensitive information while managing clerical responsibilities. Collaborate with team members to ensure efficient office operations and workflow.

Qualifications



Proven experience in an administrative role with clerical responsibilities. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. Strong computer skills with the ability to learn new software quickly; experience with QuickBooks is preferred. Excellent typing skills with attention to detail for proofreading documents. Strong organizational skills with the ability to prioritize tasks effectively. Previous customer service experience is essential; familiarity with dental or medical office environments is a plus. Ability to work independently as well as part of a team, demonstrating flexibility and adaptability in a dynamic work environment. Strong communication skills, both verbal and written.
