Work Location: Donald Street, Winnipeg Pay rate: $16/hr Start Date: ASAP Hours of Work: M-F Days 8:30 to 4:30 Key Responsibilities
The Administrative Assistant provides secretarial, administrative, and clerical support to senior team members, including:
Coordinating in-person and virtual/teleconference meetings, including negotiating dates and times, booking facilities and specialized equipment, and arranging room set-up.
Organizing and scheduling appointments and travel arrangements for senior staff.
Drafting correspondence (letters, memos, etc.), formatting, editing, and proofreading documents to ensure accuracy and proper flow.
Maintaining both physical and electronic filing systems.
Receiving, coding, and processing invoices.
Greeting and directing visitors, and providing customer service in person, over the phone, and via email.
Ordering and maintaining office supplies and equipment.
Recording attendance in SAP.
Essential Qualifications
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong interpersonal skills and the ability to work effectively with diverse internal and external stakeholders.
Excellent written communication skills with high accuracy and attention to detail.
Strong problem-solving abilities with the initiative to make sound decisions.
Ability to understand workflow processes within a broader system of information management.
Effective verbal communication skills.
Strong organizational and time management skills, with the ability to prioritize competing tasks.
