Position Description

The Complex Care & Recovery (CCR) Program is seeking a casual Administrative Secretary to work in the Office of the Person in Charge. Reporting the Program Manager, the successful candidate will provide administrative / clerical duties to ensure the smooth and effective operation of the forensic service. Responsibilities will include, but are not limited to:
  • Updating and generating reports from the Forensic SharePoint Site
  • Compile data and tables for completion of OPIC Quarterly Reports and Annual Reports
  • Updating Forensic/Legal Status in I-Care
  • Tracking new privilege requests (housing approval, travel, change of address and approved person memorandum of agreement forms)
  • Notify the OPP and GTA Police Services when patients utilize community privileges/passes, change address and are discharged from hospital
  • Scheduling meetings/case conferences and minute taking, as required
  • Updating the Bed Registry, as required
This position is based out of the Queen Street Site. You will support a workplace that embraces diversity, encourages teamwork, and complies with all applicable regulatory and legislative requirements. Qualifications
The successful candidate will possess a one-year Community College diploma in Office Administration or a related discipline with two (2) years secretarial/administrative experience. You will have sound analytical and problem-solving skills, excellent interpersonal and communication (verbal and written) skills, and possess strong administrative skills. You must be proficient with Microsoft Office applications such as Microsoft Outlook, Word, Excel, and PowerPoint to support the department\xe2\x80\x99s activities. Excellent writing and minute taking skills are necessary. You must demonstrate sound judgment, the ability to interpret and apply policies and procedures, and work as part of a team. You will have the ability to and possess experience in dealing with clients, staff, volunteers and other internal and external agencies from diverse cultural and ethnic backgrounds. You will demonstrate sound judgement, high levels of tact and diplomacy and must be able to respond to customers professionally and politely while creating a welcoming and comfortable environment. The ideal candidate will also be creative and flexible with regard to types of tasks and a team player with a high degree of initiative. Must be able to work under pressure and deal with conflicting priorities and deadlines. Bilingualism (French/English) and/or proficiency in another language is an asset. Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
