Job Description

As GCI's Administrative Receptionist, you are an essential member of GCI's Operations Team and the hub of our office. You are often the first to greet clients, the one to answer general office inquiries, and administrative support for GCI's Operations Manager.

This position requires a friendly, positive, and professional attitude. Other essential soft skills include excellent organizational skills, the ability to prioritize multiple tasks, adept in verbal & written communication, proficient in time management, being detail oriented and having the ability to easily adapt to changes within your daily list of tasks and duties.

Responsibilities



Welcome visitors with a friendly greeting, prompt safety sign ins, and provide overall general support to GCI visitors Ensure all Visitors, Sub-Contractors and non-GCI employees are signed in appropriately, receive all Safety related information and are not allowed to enter GCI premises without approval and supervision Formatting of company documents following GCI's Formatting Standard Communicate with Building Management Manage housekeeping by communicating with contracted Office Cleaners Answer and direct phone calls Complete New Employee Onboarding, including site orientation, coordinate with IT to set up new workstations Organize and schedule meetings and appointments Produce and distribute correspondence including taking detailed minutes for meetings when required Order office supplies Book travel arrangements Carry out administrative duties such as filing, typing, copying, binding, scanning etc. Receive, sort, and distribute the mail Maintain phone system Issuing and tracking PO's to those approved for placing orders Place project and stock related material orders when requested Run errands, pick up needed supplies using company a company vehicle as requested by GCI's Operations Manager Assist in company event planning Support with various other tasks when required (ad hoc) Actively support and participate in the continuous improvement of workplace culture Maintain confidentiality and integrity of company and employee information

Required Qualifications & Skills



Minimum of 3-5 years of experience in an administrative or receptionist role, preferably in the industrial construction or related industry Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment Strong verbal and written communication skills Exceptional organizational skills with a keen attention to detail Ability to work independently and collaboratively as part of a team Knowledge of industrial construction terminology and processes is an asset Valid WHMIS & CSTS Safety Tickets Alberta Drivers License & clean drivers abstract
