Administrative Receptionist.

As a key member of our office support team, this role provides administrative expertise to the corporate office, and other departments as required. This support position exists to provide friendly and helpful service to all callers, visitors, and Team members. Areas of Responsibility:
Provide Administrative assistance to the Corporate Office and other departments as directed by the Corporate Office.
Welcome and assist visitors with the purpose of their visit.
Manage the phone system for Crossroads & Yes TV to facilitate the receipt of incoming telephone calls with a courteous, friendly, and professional manner.
Oversee the ordering of office supplies, including kitchen and cleaning supplies, and keep our stock updated.
Receive and process all incoming and outgoing mail.
Facilitate and process all courier requests and deliveries
Responsible for ensuring the hospitality, kitchen, and common areas of the office are kept tidy and clean throughout the day.
Coordinate the hospitality-related duties for all internal gatherings, including Board Meetings, special meetings or Donor lunches as directed.
Support events with various duties, including coordinating food services and assisting with guest services.
As a member of the social committee, assist with event coordination, including creating communications in the form of flyers.
Specific Job Duties:
Provide day-to-day administrative assistance, including word processing, accounting, communication pieces and other various admin duties.
Answer incoming telephone calls and forward them to the appropriate recipient. Monitor and forward voicemail from the General mailbox.
Facilitate the transfer of external and internal calls to the person requested or department required.
Maintain an up-to-date internal telephone extension list and team member photo list.
Receive guests and assist in directing them to the appropriate person or area.
Liaison with the building receptionist and notify team members when their guests arrive.
Receive incoming and outgoing courier packages, directing them to the appropriate person or area.
Coordinate the assignment of security cards for employees, volunteers, contractors, and board members with the building representative. Maintain an up-to-date listing.
Assist visitors with Tours of our offices and studios, including the Heritage Wall.
Order food services for meetings and prepare the setup.
Work with Partner Services team weekly in opening donation mail, helping with processing the cheques. (4-6 hours a week)
Prepare Partner Services Thank You letter mailings weekly from the donations (including stuffing of envelopes and mailing, 1-2 days a week).
Create flyers or other publications for the social committee. Track attendees for various events.
Liaison with vendors for food services.
Facilitate Team member connecting touchpoints using various software programs.
Responsible for a petty cash float requiring monthly reconciliation.
Assist Development department with incoming and outgoing mail.
Provide postage and courier reports for finance.
Assist with office room bookings.
Pick up supplies as needed.
Other duties as required.
Qualifications and Experience:
High school graduation diploma, with a post-secondary course in office assistance
5 years' experience in front-line reception or customer service position
Excellent computer skills
Experience in managing phone systems
Ability to handle sensitive and confidential information with discretion and professionalism.
Effective verbal, written, and interpersonal communication skills
Proficiency with Microsoft Office Suite
Multi-tasker with the ability to prioritize
Valid driver's licence
