Job Description

The Administrative Project Support role is responsible for providing high-quality administrative assistance to the Senior Project Manager and project team at the Bruhn Bridge Project. Although employed by Yucwmenlucwu LLP, this individual will be embedded within the Aecon-Emil Anderson Construction General Partnership project office, offering day-to-day operational and administrative support for the duration of the project. This is a key administrative support position focused on helping the team stay organized, efficient, and compliant with project processes.

Administrative & Project Support (90%)



Assist with the coordination, tracking, and documentation of project-related activities. Prepare, format, and distribute meeting materials, including agendas, minutes, and action item logs. Maintain digital and physical filing systems for project documentation and correspondence. Provide support in preparing reports, spreadsheets, presentations, and technical documents. Coordinate and track deadlines, submissions, and approvals related to project deliverables. Develop an understanding and familiarity with the various sector union agreements which includes wage classifications, union benefits and scenarios for worker entitlement to allowances. Payroll entry acting in support of the payroll administrator using an electronic timecard software system (Field Data Capture) Maintain supply inventories and assist with procurement requests as needed. Work alongside project controls team to generate labour / productivity reports. Assist in invoice receiving and accounts payable Liaise between Yucwmenlucwu and Aecon/Emil Anderson as required to ensure smooth workflow. Ensure all administrative practices are aligned with the standards of YUC, Aecon, and Emil Anderson.

Collaboration & Communication (10%)



Communicate clearly and respectfully with all project stakeholders. Assist in relaying information between teams, departments, and contractors. Always maintain confidentiality and discretion.

JOB KNOWLEDGE, EXPERIENCE, AND SKILLS



Certificate or Diploma in Office Administration, Business, or related field preferred. 2+ years of experience in an administrative or project coordination role, preferably in construction, engineering, or environmental services. Strong attention to detail and excellent organizational and time management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF editing tools. Ability to multitask, prioritize, and work independently under minimal supervision. Strong written and verbal communication skills. Experience working in project-based environments is an asset. Valid driver's license and access to reliable transportation.

WORKING CONDITIONS:



Office-based position at the Bruhn Bridge project site. May require occasional travel for meetings or administrative coordination.
