Scope/Purpose:

Intertek Assuris helps clients in various industries bring new products into regulation around the world. Intertek Assuris is seeking a Administrative & Project Coordinator to assist in the submission of various food/feed-related applications and assist in project-related preparation activities on an as-needed basis. The Administrative & Project Coordinator will work with subject matter experts to prepare/upload all elements of an electronic submission, abiding by regulatory requirements. The Administrative & Project Coordinator will finalize electronic submissions and will be responsible for tracking the status of each submission. Additionally, they will assist with quality control checks for a variety of reports and assist in literature acquisition as needed.

Responsibilities

  • Assist with electronic submissions for the EU and UK
  • Prepare application dossiers (redact confidential information, split the document into various parts, etc.)
  • Upload all submission elements into the electronic submission portal and fill out all required fields
  • Perform a final QC of the online submission package alongside a subject matter expert before officially submitting it
  • Track the status of all submissions
  • Stay up-to-date on the latest submission requirements and disseminate information to the Food & Nutrition Group as required
  • Expedite the efficient acquisition of information (usually from public sources) for use by scientific staff, and track the progress of requests and location of acquired materials
  • Support technical editors (i.e., Word Processing Team) with general formatting of scientific reports, quality control checks, and finalization
Key Relationships
  • Liaise with members of the Intertek Mississauga Office and Intertek UK Office, mostly the Food & Nutrition Group, Word Processing Team, and Library Team
  • Communicate regulatory changes to the Food & Nutrition Group members
  • Collaborate with Word Processing Team to ensure SOPs are followed
  • Liaise with Library Team regarding literature acquisition
Required Skills and Experience
  • 1 to 3 years of administrative experience
  • Strong verbal and written communication skills with an overall understanding of English grammar principles
  • Keen eye for detail, with the ability to follow strict guidelines
  • Organized and self-disciplined, with the ability to work independently while balancing multiple deadlines
  • Strong computer skills; able to navigate new platforms with confidence and ease
  • Intermediate knowledge of MS Excel, MS Word, and Adobe Acrobat
  • Basic understanding of database management
