Job Description

The Rural Municipality of Tache is seeking a qualified and motivated individual to join our Planning Department as a

full-time Administrative Planning Assistant

. Reporting to the Development Officer, the Administrative Planning Assistant plays a key role in supporting the delivery of municipal planning and development services.

The successful candidate will be responsible for reviewing and processing planning applications, including conditional uses, variance orders, development permits, subdivisions, and by-law amendments. Duties include responding to public and developer inquiries, coordinating the preparation and distribution of public hearing notices, drafting reports and correspondence, and preparing meeting agendas and materials for Council and Committee meetings.

This position requires strong organizational, communication, and analytical skills, as well as attention to detail and the ability to work effectively in a fast-paced, public-facing environment. Experience or education in urban and regional planning, geography, or a related field will be considered an asset.

Key Responsibilities



Receive and process all planning applications, including conditional uses, variance orders, and development permits, and determine the necessary application requirements for proposed developments. Respond to initial planning inquiries from the public, developers, and other stakeholders through phone, email, and in-person visits. Coordinate the preparation and distribution of public hearing notices, including mailings and the publication of notices in local newspapers and on the Municipal website, as applicable. Prepare draft reports for the Development Officer related to subdivisions, by-law amendments, variance orders, and conditional use applications. Prepare meeting agendas, compile supporting documentation, and distribute agenda packages to Council. Attend evening Council Planning and Planning Committee meetings to provide administrative and technical support to the Development Officer. Prepare and issue follow-up correspondence and documentation arising from meetings. Work collaboratively with the Building Department to complete zoning and land use reviews for building permit applications. Maintain and archive both paper and electronic files related to planning activities, including in-house applications, variances, conditional uses, subdivisions, rezoning, development plans, and amendments. Perform other related duties as assigned.

Qualifications:



Post-secondary education in business, marketing, communications, public administration, or a related field (or equivalent experience). Strong written and verbal communication skills. Proficiency with Microsoft Office Suite. Detail-oriented with strong organizational and time management abilities. Ability to work independently and as part of a small team. Customer-service oriented with a friendly and professional demeanor. Bilingual (French and English) is considered an asset but not required.

Work Environment:



This is an in-office position based at the RM of Tache Municipal Office Standard office hours (8:00am to 4:30pm) with occasional evening meetings
