ABOUT THE ROLE



Ryder Contracting Ltd. is seeking a seasoned, highly organized, and technically savvy Administrative Operations Coordinator to support our small, dedicated team. WHAT YOU'LL DO



Administrative & Office Coordination



Maintain smooth day-to-day office operations, ensuring documents, files, schedules, and communications are organized and up to date Oversee data entry with exceptional accuracy and attention to detail Manage and optimize filing systems (digital and physical) Act as a central point of contact for internal staff and external stakeholders

Financial & Bookkeeping Support



Support bookkeeping functions including billing, job costing, payables/receivables, and month-end tasks Use QuickBooks for basic accounting entries, reconciliations, and reporting Maintain accurate records to support financial decision-making

Customer & Stakeholder Support



Provide friendly, solution-focused support to customers and prospective clients Liaise professionally with vendors, suppliers, clients, and internal team members Handle inquiries with diplomacy, clarity, and timely follow-through

Technology, Systems & Process Improvement



Work in Excel regularly, leveraging formulas, pivot tables, V-lookups, and data accuracy checks Identify inefficiencies and contribute to process improvement initiatives to streamline operations Proactively recommend new tools, templates, or workflows that enhance productivity

Marketing & Communications (Light)



Support basic marketing activities such as social media posting, customer updates, and simple content creation Assist in maintaining company visibility and communicating key information

Team Support & Cross-Coverage



Understand the roles around you and step in to assist or provide coverage when needed Collaborate closely with a small team where flexibility, teamwork, and reliability matter

WHAT YOU BRING



Technical Skills



Advanced proficiency in Microsoft Excel (pivot tables, V-lookups, formulas) Strong command of Microsoft Office Suite (Word, Excel, PowerPoint) Experience with QuickBooks (required) Experience with CRM or ERP systems (preferred) High technological aptitude with the ability to learn new tools quickly

Professional Experience & Attributes



3-5+ years of administrative, clerical, or office coordination experience (preferably in an operations-based environment) Strong analytical skills with a natural ability to identify gaps, inconsistencies, and opportunities for improvement Exceptional attention to detail and accuracy Demonstrated ability to manage multiple priorities, deadlines, and stakeholders Proactive, resourceful, and a self-starter who brings solutions rather than problems Comfortable operating in evolving or ambiguous environments Excellent written and verbal communication skills High level of professionalism, discretion, and commitment to organizational success Dedicated, reliable, and motivated to contribute long-term
