Faculty of Science

Position Summary:
Reporting to the Director, provide efficient and effective administration to the Computational & Data Systems Initiative (CDSI), Faculty of Science in support of research and administration, in accordance with the CDSI\xe2\x80\x99s goals and objectives, while ensuring coherence with the University\'s mission and culture. Plan, develop and implement administrative processes and policies. Support activities related to general administration including, but not limited to: finance, human resources, and physical resources. Develop administrative standards, practices and systems. Foster relationships with other units and external organizations.

Major Responsibilities:


  • Responsible for the daily administrative operations of the Computational & Data Systems Initiative. Plan, develop and implement administrative procedures, policies and processes that require complex analysis and decision-making and are in support of the Initiative\xe2\x80\x99s goals and objectives and the overall mission.

  • Responsible for the budgetary planning and budget allocations. Prepare and submit the annual budget of CDSI. Accurately monitor accounts, record and report expenditures.

  • Ensure financial compliance with the University and Faculty of Science\xe2\x80\x99s budget policies and financial procedures. Prepare appropriate reporting and year-end financial documentation.

  • Act as a liaison between CDSI\xe2\x80\x99s Director, the University and Faculty administration, units, and external organizations relating to various types of administrative requests.

  • Recommend, develop, implement, and track new administrative procedures, policies and processes that support the strategic direction of CDSI, and to lead the Initiative through significant change.

  • Participate and represent CDSI at meetings to provide input concerning administrative, financial and human resource affairs, and to communicate committees\' discussions and recommendations to Director in order to make judgments and policy decisions.

  • Supervise support staff. Perform several HR functions, including workload allocation, performance management, and conflict resolution.

  • In conjunction with the Director, work with Central and Faculty IT to evaluate administrative IT needs and streamline procedures, controls and record-keeping systems for the Initiative.

  • Identify and participate in continuous improvement initiatives to maximize the Initiative\'s effectiveness.

  • Track industry engagement across the CDSI\xe2\x80\x99s initiatives. Analyze data and prepare statistics.

  • Respond to requests for data and reports from Faculty/University administration and stakeholders.

  • Prepare correspondence, memos and administrative documents.

  • Undertake special projects and perform other related duties, as required.


Other Qualifying Skills and/or Abilities
Knowledge of university administrative policies, procedures and processes is an asset. Ability to establish and maintain positive and effective working relationships with both internal and external stakeholders. Experience motivating and managing teams with proven delegation skills. Proven budget management experience. High level of interpersonal and communication skills. Ability to work independently as well as collaboratively. Demonstrated problem-solving and organizational skills, ability to take initiative, think creatively and handle challenging situations with tact, diplomacy and resourcefulness. Excellent time management skills with a proven ability to prioritize, work under pressure and meet deadlines in a rapidly changing environment. Demonstrated ability to research, summarize and effectively present information verbally or in writing with strong attention to detail. Proven skills in identifying and implementing process improvements. Meticulous in documenting follow-up actions regarding ongoing files. Ability to work in a PC environment using MS Office (Word, Excel, Power Point & Outlook), Minerva and Workday. Excellent communication skills, and knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. Experience working in a multidisciplinary setting is an asset. Background in data science is also an asset.















Minimum Education and Experience: Bachelor\'s Degree 3 Years Related Experience /





























Annual Salary: (MPEX Grade 04) $58,470.00 - $73,090.00 - $87,710.00
