This is a one-year, full-time term position with the possibility of renewal, based in the Peter Guo-hua Fu School of Architecture.

80% of the position will support ReCONstruct, which is a five-year, $6M applied research project addressing the climate emergency through the mass deployment of deep climate retrofits of existing buildings, led by the Chair in Architecture, Energy, and Environment (Prof Michael Jemtrud). The remaining 20% of the position will support the Peter Guo-hua Fu School of Architecture.

Position Summary:
Provide efficient and effective administration to a faculty/department/unit, in support of teaching, research and administration, in accordance with the unit\'s goals and objectives, while ensuring coherence with the University\'s mission and culture. Plan, develop and implement administrative processes and policies for a unit. Develop administrative standards, practices and systems. Provide a liaison function with other units and with external organizations. Support activities related to general administration including, but not limited to: finance, human resources, communications, student affairs, physical resources, archives, governance and legal affairs. Manage research administration, contracts, grants, philanthropic gifts or other formal relationships. Interpret and apply University regulations, policies and guidelines. Perform functions related to planning and institutional analysis.

Primary Responsibilities:

  • Ensure state of the art operations to support the Chair in Architecture, Energy, and Environment in the ReCONstruct research project by developing and implementing operational processes
  • Help manage the day-to-day operations of ReCONnstruct and provide direct administrative support to the Chair
  • Responsible for the Chair\xe2\x80\x99s HR operations, including processes related to the lifecycle of staff (hiring, onboarding, offboarding), using Workday
  • Support the School of Architecture with HR operations, using Workday, such as job postings and offers, hiring, one-time payments, terminations, etc.
  • Responsible for the Chair\xe2\x80\x99s finances: Follow up on budget development, fund depletion and ensure timely and accurate financial reporting; Manage and monitor all funding sources. Document and process accounting activities (journal entries, advances, requisitions, expense reports, etc.); Approve and/or control expenditures within established guidelines; Assist in the preparation of accounting reports, statements, and with the preparation of personnel and operating budgets, capital equipment budgets and/or research grant applications
  • Assist in the preparation of partnership agreements, including liaison with various relevant departments within McGill, partner organizations, and industry partners
  • Assist in the preparation of periodic reports to project stakeholders and funding organizations, including reporting requirements from NSERC
  • Compile statistics and data for inclusion in University and external reports, and support the production of publications and other materials
  • Organize events such as seminars, workshops, receptions and field trips
  • Oversee logistics related to travel
  • Other responsibilities as required or needed.
Other Qualifying Skills and/or Abilities

The successful candidate must have experience with human resources operations using Workday, as well as proven experience with accounting and budget planning.

The candidate must have demonstrated proficiency with Workday, MMP and Banner (HRIS, SIS and FIS), MS Office Excel and Word. Experience with Minerva is an asset. Knowledge of McGill University policy and regulations is a major asset. A high level of professionalism and discretion is required at all times. We seek a motivated self-starter with an ability to work autonomously with minimal supervision as well as within a team. Proficiency with web publishing is an asset.

The candidate must also possess demonstrated organizational skills, as well as a demonstrated ability to analyze information, solve problems, provide recommendations and solutions.

Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 , on a scale of 0-4.

Annual Salary: (MPEX Grade 04) $62,550.00 - $78,190.00 - $93,830.00
