Job Description

We are seeking a detail-oriented and organized Coordinator to support daily operations for the recruitment and marketing teams. This position plays a key role in keeping systems up to date, managing job postings, coordinating interviews, and assisting with invoicing and marketing initiatives.
Coordinator Details

Coordinator Responsibilities

• Support daily administrative operations for the recruitment team
• Create, format, and post job descriptions across platforms (Indeed, LinkedIn, company website)
• Maintain accurate candidate and client records within the Top Echelon CRM
• Schedule interviews and send confirmations through Outlook and Microsoft Teams
• Assist in managing social media content and marketing materials via Canva, ensuring brand consistency
• Generate, update, and track invoices in Excel
• Organize and maintain digital filing systems and candidate records
• Draft candidate bios, summaries, and internal communications
• Monitor job board performance and refresh postings as needed
• Provide general administrative and clerical support across departments
• Complete other ad hoc tasks or special projects as required

Administrator Qualifications

• Minimum 2 years of administrative or coordination experience in an office or recruitment environment
• Strong proficiency in Microsoft Office Excel, Outlook, Teams
• Knowledge with Canva and social media/job posting tools (LinkedIn, Indeed)
• CRM experience (Top Echelon or similar ATS)
• Excellent organizational skills and keen attention to detail
• Strong written and verbal communication skills
• Ability to multitask and prioritize effectively in a fast-paced setting
• Reliable, adaptable, and proactive team player
