Face a Face Mission



The Face a Face Listening and Intervention Centre offers active listening, intervention, and collaborative support to vulnerable and isolated individuals, on the telephone and in person, in order to encourage the process of empowerment and social reintegration

Job Summary



The Director is responsible for the overall strategic, operational, and financial management of the organization. This role involves leading and inspiring a dedicated team, developing and implementing strategic plans, and representing the organization to the community, stakeholders, and the public. The Director will ensure the organization's programs align with its mission and goals while maintaining fiscal responsibility.

Leadership and Management:



? Provide visionary leadership for the organization, staff, and volunteers.

? Foster a positive and collaborative work environment, promoting professionaldevelopment and growth.

? Develop and implement strategic plans to advance the organization's mission and goals.

? Oversee the day-to-day operations, ensuring efficient and effective delivery of programsand services. This includes:

o Resolving issues of a clinical, technical, or organizational nature.
o Hiring, training, supervising, and scheduling staff members
o Ordering office supplies
o Leading weekly staff meetings with a team of intervention workers and ensuring goals are met.

? Coordinate and manage administrative tasks. This includes:

o Dataentry
o Record-keeping
o Answering statistical surveys issued by government agencies and other community organizations
o Completing reports pertaining to streams of funding to ensure the continuation of financial support
o Maintaining and organizing financial records and transactions in conjunction with the bookkeeper

? Oversee the completion of required activities for the annual general meeting, includingcompiling statistics, preparing and finalizing the activities report, and sending outinvitations.

? Attend workshops pertinent to the organization's services and clientele to help revampour training and keep it as robust as possible.

Financial Management:



? Develop and manage the annual budget, ensuring financial stability and sustainability.

? Monitor financial performance, providing regular updates to the Board of Directors.

? Oversee fundraising efforts, including donor relations and special events.

Board Relations:



? Work closely with the Board of Directors, providing regular updates on organizational activities and progress.

? Assist in the recruitment and development of board members.

? Implement board policies and decisions effectively.

Community and Public Relations:



? Act as the primary spokesperson for the organization, promoting its mission and programs.

? Build and maintain relationships with community partners, government agencies, and the media.

? Represent the organization at public events, conferences, committees, and meetings.

? Attend meetings with external agencies regularly to collaborate on projects that couldbenefit the organization overall.

Weekly Reports



1. Financial status:

Have you communicated with or received messages from our funding providers? Have there been any new donations? Do you need additional financial information to complete your work?
2. Issues:

Have you encountered any major issues regarding funding, development projects, fundraising, legal requirements, staff, safety, confidentiality, operations, or material needs? Please specify if you require the help of the Board to remedy these issues. Also specify if these issues require immediate attention or can wait until the next board meeting. (If they are really urgent, feel free to communicate with the Board at any time.) Have you fixed any major issues previously mentioned? Ifso, how? Have you identified any potential risks regarding safety, quality of services, volunteer retention, staff retention, etc.? Please specify if you require the help of the Board to remedy these issues. Also specify if these issues require immediate attention or can wait until the next board meeting. (If they are really urgent, feel free to communicate with the Board at any time.) Have you taken any action to minimise the previously mentioned risks?
3. Feedback:

Have you received any important feedback from volunteers, staff members, or clients that needs to be addressed or mentioned? (Can be positive or negative) Have you made any changes addressing previously mentioned feedback?
4. Compliance:

a. Have you communicated with or received messages from government officials regarding legal requirements?

Monthly Reports



1. Financial status:

Are we following the budget? (Provide details by comparing expected spending from the budget to actual spending and through a cash flowchart) If there are any major differences between the budget and the actual spending, why is that? (Optionally, if the spending is significantly over-budget, suggest how this can be adjusted; if the spending is significantly under-budget, suggest how this money can be reallocated) Are there any upcoming grant reports or funding application deadlines? If so, how are these documents coming along? (Communicated with the help of the grant writer) Have you identified any potential grant or a strategy to increase funding from our current funders? If so, what needs to be done to acquire these new funds? (Communicated with the help of the grant writer)
2. Projects:

Are you planning to provide new services or launch a new initiative or project? If so, what is the plan? What are some key achievements for this month?(Does not need to be anything big. It can be some stats, some small positive events, or an issue that has been resolved. This is mainly to remind the director, the staff members, and the board of directors that their work is bearing fruit and to keep a record of things to mention in the next year's AGM) Are you collaborating with new or existing partners on a specific project? How will this collaboration impact Face a Face? Are you planning any community out reach activities? How can the Board help support any of these projects?
3. Fundraising:

Do you plan on organizing or participating in a fundraising event or campaign in the upcoming months? If so, please provide details of its unfolding. If a fundraiser has taken place, how did it go? And how much money was raised?
4. Staff:

Has there been any change in personnel?Please specify if the Board needs to make note of these changes for the next board meeting. (Ex: a new hire is needed, a current staff member wants more/less hours or has some specific demands for the Board)

Please provide details regarding the volunteer program. (Are we getting more/fewer volunteers than usual? Do they enjoy their experience? Are there more/less drop-outs than usual? Are they more/less skilled than usual? etc.) Are you planning an event or gifts to thank our volunteers? Have volunteers or staff members received any new training?
5. Operations:

Has there been any major change in our operations? (New mailing system, new scheduling system, new opening hours, changes in how we provide services, etc.) Are our resources and services working well?(Phone line,computers, mail cabinet, air conditioning, electricity, etc.) Do you have any plans or suggestions on how to improve our operations? If these improvements require funds, please propose how they can be incorporated into the current budget. (This could be to improve safety, volunteer satisfaction, employee satisfaction, client satisfaction, efficiency, etc.)
6. Miscellaneous:

Any other relevant information or updates. Requests for board resolutions. Please specify if you have any scheduling restrictions regarding the nextboard meeting.

? Cash flow for the next three months

? Statistics report on key figures (with the help of the grant writer)

Pay: $44,000.00-$48,000.00 per year
