Role Summary:
The Administrative Coordinator at Macdonald\'s HHC is a confident communicator who can speak their mind whilst bringing organization and process to our small team environment. They are responsible for answering phone calls and emails, creating sales quotations, as well as communicating with clients and healthcare professionals promptly and respectfully.
The Administrative Coordinator position is key in ensuring that the team remain on track and organized in their day-to-day activities and provides a watchful eye to confirm the team are following process and procedures. This team member must be able to guide communication effectively, be able to anticipate needs, keep calm under pressure, find comfort with last-minute changes and remain consistently organized.
Requirements:

  • High School Diploma
  • Two years of experience working in an administrative position
  • Previous experience working in a retail or customer service environment is desirable
  • Intermediate knowledge of Microsoft Office
  • Excellent verbal and written communication
  • Extremely organized and detail-orientated
  • Ability to handle multiple sources of information and maintain communication with all departments whilst managing competing deadlines
  • Excellent skills in recognizing, analyzing, and resolving problems
  • Effective organizational, interpersonal, and communication skills
  • An interest in Home Healthcare or Complex Rehabilitation would be an asset

Key Responsibilities:
  • Handling and coordinating a high volume of client phone calls, emails, and faxes
  • Attending to tasks in a timely and responsive manner
  • General office administration such as scanning, digital filing
  • Preparing and organizing paperwork for the Service & Sales departments
  • Working with healthcare professionals and clients to coordinate deliveries and installations.
  • Provide direction to team members regarding clients
  • Calling manufacturers for quote information
  • Being responsible for overseeing the work levels in the department and booking appropriately
  • Ensuring the overall organization of the office floor
  • Ensuring that team members are following processes and procedures for a safe and efficient office/warehouse environment
  • Preparing quotations and executing work orders promptly
  • Supporting our team with assistance in booking appointments/making client calls along with general administrative assistance
  • Provide training to new team members as required
  • Lifting 40-50 lbs safely from high shelving
