Position Description

We are recruiting an Administrative Coordinator to join the SickKids Research Institute. Are you looking for a challenging and rewarding administrative position where you can utilize your organizational, communication, time management and creativity skills in a multi-disciplinary operations environment? We have an opportunity for you!
Working within Research Operations, you will be a key member to the Research Facilities, Infrastructure and Space Management (RFISM) team. You will perform various duties including office management, financial and accounting related duties, event planning and special projects, working with diverse stakeholders. You will act as a resource and a communication link for information within RFISM, Research Institute, and SickKids hospital.
Here's What You'll Get To Do:
Act as the first point of contact for RFISM.
With support and input from other members in the RI, write building wide communication that are critical to the operations of the Peter Gilgan Centre for Research and Learning (PGCRL) SickKids' Research Community.
Work closely with internal and external stakeholders (i.e. vendors and other hospital portfolios) to coordinate annual events and product shows of various nature.
Generate purchase orders, reconcile monthly reports for multiple cost centres, and liaise with internal and external stakeholders to follow up on financial matters including claims, invoices, and expense transfers.
Responsible for internal billings for multiple cost recovery research core services.
Manage multiple calendars, schedule and coordinate meetings, retreats, departmental activities, and travel.Prepare meeting agenda, meeting minutes and other related documents as required.
Other duties consistent with the job profile as required.
Here's What You'll Need:
Business or administrative degree/post-diploma program.
Minimum of 3 years' experience in a senior administrative role or equivalent experience
Expert knowledge and proficiency in Microsoft applications (TEAMS, Word, Excel, PowerPoint, Outlook, and internet).
Superior communication (written and verbal) skills, including document and presentation preparation.
Ability to work independently as well as part of a team.
Exceptional problem-solving skills with the ability to exercise discretion and confidentiality.
Strong work ethic and attention to detail.
Proven ability to prioritize work in an efficient and organized manner.
Ability to work in a fast-paced work environment with competing priorities and tight deadlines.
Experience in a hospital and/or research environment would be an asset.
Demonstrated commitment and actions in advancing equity, diversity and inclusion objectives

35 hrs/week - Full-time Contract, 1.00 FTE with modified benefits (dental and health)
This role follows an on-site work model during initial orientation period (approximately 3 months), to transition to hybrid work arrangement after.
