About the Role:
Administrative roles ensure efficient day-to-day operations of their respective branches/programs, supporting other team members and People Leaders through a variety of typically routine tasks and communications. These roles utilize constant communication skills in-person, over the phone, and via e-mail, and follow prescribed processes. As a coordinator, this role will have added responsibilities with regards to supporting operational processes required for the program's overall effectiveness and efficiency for ongoing operational program performance in accordance with MNO's strategic goals. This role will assist with monitoring program financials, program administrative data, and reporting consistent with the funder expectations and MNO standards.
What you will be doing:

  • Monitor the main entrance of the Thunder Bay Transitional Housing Program and keep accurate records of participants as they come and go from the facility.
  • Answer and respond to communications (phone calls, e-mails, etc.) from internal and external sources
  • Prepare, edit, proofread and maintain records, correspondence, presentations, etc.
  • Maintain office supplies levels and inventory
  • Maintain (and/or setup) information filing systems
  • Greet visitors, ascertain nature of business, and direct visitors to appropriate person
  • Manage office meeting room booking calendars, arrange meetings, and catering
  • Coordinate travel schedules and make reservations
  • Support the Thunder Bay Transitional Housing Program's various day-to-day administrative functions and special events
  • Oversee performance measures and/or accountability frameworks to ensure the funding directives are met in accordance with funding agreements and MNO standards.
  • Contribute to project planning, budgeting in compliance to funding contracts, and overall operational plans for the Thunder Bay Transitional Housing Program.
  • Generate comprehensive reports using program qualitative and quantitative data for both internals and external use.
  • Maintain project contracts and financials, ensuring complete and proper backup/audit documentation.
  • Maintain a high-level of confidentiality
  • Other reasonable duties as may be assigned
Qualifications:
  • Strong desire to act in the service of the Metis Citizens, to advance and uphold Metis rights and culture
  • Completion of post-secondary education in a related field, such as office administration, business, accounting, etc.
  • Knowledge of homelessness issues and barriers to accessing housing, especially within Metis and other Indigenous populations Advanced communications skills
  • Organization skills and time/priority-management
  • Highly detail-oriented
  • Crisis intervention skills
  • Demonstrated ability to problem-solve, demonstrate good judgement, and make decisions independently within set processes and procedures
  • Demonstrated ability to work alone/independently with minimal supervision
  • Client service experience
  • Experience in developing and facilitating presentations
  • Experiencing monitoring, tracking, and reporting on financial data and/or performance measures
  • Demonstrated analytical and evaluative skills to assess compliance and accountability
  • Strong skills in Microsoft Suite - particularly Excel
  • Strong communication skills - verbally and written
