Location: Day Camp Office; 120 Shields Court, Markham, Ontario




Work Hours: Part time hours until June, then up to 40 hours per week Monday - Friday, starting May 25 until September 4, 2026




Employment Type: Seasonal Contract

The Administrative Coordinator - Staff & Camp Operations supports camp operations by providing administrative leadership and coordination to ensure effective processes and timely information flow. The role contributes to planning and organizational activities that assist Camp Directors and staff in maintaining accurate documentation and consistent operational standards. Responsibilities include overseeing key administrative functions that uphold compliance, support staff development, and reinforce a safe and well-organized camp environment. This position also ensures the accurate execution of essential data, payroll, and reporting tasks that enable smooth day-to-day operations.


In this role, you will:




Provide administrative leadership and support to Camp Directors through regular check-ins to support on-site organization and document collection Work closely with the Camp Services Coordinator - Volunteer & Logistics to track and follow up on Accident/Incident report forms Attend all staff trainings and meetings, arrive on time, and actively participate to support the development of camp staff Ensure Health & Safety procedures are followed and maintained, and contribute to the cleaning, safety, and maintenance of camp sites and the office Act as a positive role model for campers and staff by embodying YMCA values, policies, procedures, Day Camp guidelines, and Ontario Camping Association standards Complete accurate and timely data entry in Human Resources databases, including hiring packages, police record checks, and visa reconciliation Complete accurate and timely entry of payroll hours into the payroll system within assigned deadlines and address payroll discrepancies promptly, escalating concerns to the Day Camp Manager Complete weekly tasks of sorting camper groups, medical information, and camper data in Excel within assigned deadlines Provide support to the program with warehouse and office organization when time permits Perform other duties as assigned

You bring:




Post-secondary education (or currently enrolled in) in business, administration, human resources, or a related program preferred, or equivalent experience Minimum 1 year experience working in an administrative role Experience with YMCA Day Camps an asset Knowledge or experience in Microsoft Word, Excel, Outlook, ActiveNet, and UKG preferred Demonstrated ability to work well both independently and in a team environment Well-developed interpersonal and relationship-building skills with the ability to establish rapport Excellent communication skills, both verbal and written Commitment to diversity, equity, inclusion and building a sense of belonging
