ADMINISTRATIVE COORDINATOR

Sexual Harassment Office


(Six month contractual position)


DUTIES


Reporting to the University Sexual Harassment Advisor, the successful applicant will perform coordination and administrative duties requiring discretion, initiative and judgment in the proactive support of the Sexual Harassment (SHO) Office, its programs and mandate. Duties include: assisting with writing reports, briefing notes, assisting in environmental scans and focused research, presentations and compiling relevant information; monitoring the status of outstanding correspondence as well as following up on action items and meeting outcomes including timely response to email, requests for advice and input, and triage of walk-in appointments; developing and maintaining the SHO`s confidential records management systems (paper and digital) pursuant to records retention and disposal schedules; maintaining official records on various initiatives and generating related status reports; monitoring formal investigations, preparing required documentation and ensuring record retention in accordance with the Sexual Harassment Policy and related procedures; compiling and maintaining formal and informal complaint packages; drafting ATIPP request responses; responding to email for the SHO as needed and liaising directly with executive offices, senior administrators, units heads within the University and staff with staff in the SHO; acting as recording secretary for various committees including arranging and participating in meetings as required, taking minutes of meetings, and ensuring required follow-up is conducted; preparing, maintaining and distributing all board correspondence; preparing and presenting monthly financial reports to the board; ensuring Board membership is appropriately comprised and maintained, in accordance with the Board\xe2\x80\x99s Terms of Reference and Bylaws supporting various projects including coordination of the day to day logistics, scheduling, communications regarding services provided and financial reporting; assisting in the development of community partnerships and initiatives, and performing other related duties as required.


QUALIFICATIONS


Experience (3-5 years) in progressively responsible administrative work in post-secondary, public sector or legal environment; completion of an undergraduate degree in business or related discipline; or any equivalent combination of experience and training. Knowledge of the University structure, strong organizational and time management skills and a keen ability to manage highly confidential information are required. The ideal candidate will have an understanding of sexual violence issues, the ability to respond effectively under pressure and with frequent interruptions; provide attention to detail; have a commitment to exceptional service and quality; and strong skills in preparing documents and presentations, written communications and information management. Proficiency with Microsoft Office Suite is required. Familiarity with quality management and database systems, experience using Banner Finance and Banner HR, and knowledge of University policies and procedures would be definite assets.


SALARY
$44,310 - $62,135 per annum (Non-Bargaining)
