Position overview:
The Administrative Coordinator is part of the Human Resources department at RCL. The incumbent supports the Vice-president, Human Resources in her daily activities and collaborates with the entire Human Resources team. This role will assist with multiple facets of HR including, performing administrative functions such as managing invoices, preparing correspondence in both English and French, creating presentations, office management, coordinating multiple concurrent activities, scheduling meetings, and departmental activities, and interacting with individuals and groups at most levels in the organization. Responsibilities: Assisting the Vice President, Human Resources

  • Arrange meetings, maintain, and update schedule and appointment calendar;
  • Prepare reports as requested;
  • Manage and track VP expenses and HR department invoices, expenses, and budget;
  • Draft memos, team announcements (e.g., appointments, departures), and other HR communications in both French and English.
Supporting the Leadership team and HR department
  • Aid in the creation of communications, documentation and presentations for the department;
  • Assist in the organization and the preparation of departmental meetings and events including creating the necessary material, room set up, sending invitations etc. The incumbent will also be a key resource for the HR social committee;
  • Monitor internal HR inboxes and external Employment sites. Ensures answering general inquiries and dispatching specific requests to the right team member;
  • Support department and leadership team effectiveness;
  • Backup the receptionist when required;
  • Organize office supplies and supply room, responsible for the triage of departmental mail.


Qualifications
  • College diploma;
  • 3 to 5 years experience in a related field;
  • Excellent verbal and written communication skills and fluent in both French and English is required to communicate with employees across Canada;
  • Strong planning, organization, communication and multi-tasking skills;
  • Strong work ethic, integrity, and discretion;
  • Must be flexible, and maintain a positive and supportive attitude;
  • Proficient in the use of MS Office 365 (Word, Excel, Sharepoint, Teams and PowerPoint).
