Your future role on our team

We are currently seeking a Senior Administrative Assistant. Your role will consist of aiding Project Managers and Project Leaders in the Project Execution Department. You will be expected to carry out administrative tasks as well as support project organization and logistics.

Provide support for project management and organization.
Based on each mandate, establish benchmarks for content, scheduling, and deliverables by package.
Gather and update project data during project execution.
Organize and analyze preliminary project reports. You will then present these suggestions to Project Leaders for their review and approval.
Serve as the administrative liaison between Project Managers/Leaders and the billing team.
Coordinate test equipment including logistics, calibration, and inventory.
Manage safety training database.
Assist in the maintenance and updating of technical documents.
Revise documents, such as specifications, plans, reports and proposals.
Format various documents.
Gather and complete the information necessary to prepare documents for various projects.
Occasionally collaborate in office administration and carry out the following tasks:

Answer general telephone calls.

Receive employee requests and, where necessary, refer employees to the appropriate resource.

Organize meetings.

Make travel reservations, where necessary.

Occasionally replace the receptionist.

Overview of certifications and job requirements

High school diploma or higher certification.
3 to 5 years of relevant experience
Able to quickly analyze project progress curves, budget and schedule variances, etc.
Proficiency in English, both spoken and written
Excellent knowledge of Microsoft Office, Excel in particular
Asset: Knowledge of Primavera and Dynamics AX (ERP)
