We are looking for an experienced Administrative Coordinator to join our team in Burnaby, British Columbia on a contract basis. This position requires strong technical skills, attention to detail, and the ability to manage multiple priorities effectively. You will play a key role in facilitating communication, preparing reports, and supporting various departmental initiatives.
Responsibilities:

  • Coordinate and schedule meetings, manage logistics, and document minutes to ensure effective communication and follow-up.
  • Serve as a liaison between internal departments, government offices, and external organizations to maintain consistent and efficient communication.
  • Prepare a variety of documents, including reports, presentations, correspondence, and statistical summaries, utilizing tools like Excel and databases.
  • Assist with special projects and provide support for task teams, ensuring timely completion of deliverables.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information and communications.
  • Collaborate with diverse stakeholders to facilitate smooth cross-functional operations and promote teamwork.
  • Utilize advanced software skills to manage office functions, including Microsoft Office Suite, SharePoint, and Adobe tools.
  • Monitor schedules and appointments, ensuring optimal time management for the team.
  • Provide general administrative support as needed to maintain efficient daily operations.
Requirements:
  • Proven experience in administrative coordination, preferably in a government or public-sector environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint) and Adobe applications.
  • Exceptional organizational skills with high attention to detail and accuracy.
  • Ability to manage multiple priorities and work effectively under tight deadlines.
  • Strong verbal and written communication skills to interact with diverse stakeholders.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
