Job Description


We are seeking a full-time Administrative Assistant to join our team in Vancouver. The Administrative Assistant performs a variety of administrative and clerical tasks including data entry, creating reports, note-taking, organizing meetings, and supporting operations. The Administrative Assistant reports directly to the General Manager and will also assist other departments as needed. This position requires a high level of professionalism and confidentiality. The Administrative Assistant must be comfortable interacting with all levels of management as well as clients. Working on various projects and proposals, the Administrative Assistant must be highly organized with an excellent knowledge of Word, Excel, and Publisher. Any experience with Power Point and Adobe is an asset. Duties and Responsibilities

  • Plan meetings and take detailed minutes
  • Write and distribute emails, memos, letters, faxes, and forms
  • Organize and schedule appointments
  • Issuance and monitoring of office keys and access cards for employees
  • Act as liaison person for Indigo and our insurance brokers
  • Maintain Insurance Certificates file
  • Record keeping for insurance & maintenance of Company vehicles
  • Monitoring of City/District business licenses and permits
  • Assist in the preparation of regularly scheduled reports
  • Book travel arrangements
  • Act as the point of contact for internal and external clients
  • Submit and reconcile expense reports
  • Maintain contact lists
  • Order office supplies and research new deals and suppliers
  • Assist with operations, human resources, and other departments as needed
  • Other duties as assigned
Qualifications
  • 1 year of experience working on administrative tasks or as an assistant
  • Certificate, Diploma, or Degree in Business Admin or similar
  • Strong computer skills and proficiency in Microsoft Office
  • Advanced customer service and communication skills with ability to resolve conflicts
  • Excellent organizational skills with an ability to prioritize effectively and work on multiple tasks

Job Type: Full-time Salary: $42,000.00-$48,000.00 per year Benefits:
