The St. James Assiniboia 55+ Centre is seeking a friendly, organized, and reliable Administrative Assistant to support our front desk and daily operations. This role is the first point of contact for the Centre and plays an important part in creating a welcoming and supportive environment for older adults, visitors, and community partners.
As part of a small, collaborative team, the Administrative Assistant will provide administrative and customer-service support while assisting the Seniors Resource Coordinator and other staff as needed.
Key Responsibilities
Greet and assist visitors at the front desk in a warm and professional manner
Answer and direct phone calls, emails, and voicemail inquiries
Complete program registrations in person and over the phone
Build and organize ERIK kits as required
Refill and organize pamphlets and materials in the resource centre
Lead brief informational tours to increase awareness of the Centre
Assist with off-site presentations or community events when needed
Handle incoming and outgoing mail
Update client and member information
Support staff with general administrative tasks
Assist with setup and cleanup of daily programs or activities as required
Qualifications & Skills
Comfortable and confident working with older adults
Friendly, approachable, and professional communication style
Strong interpersonal and customer-service skills
Ability to work independently while contributing positively to a team
Organized, reliable, and able to prioritize tasks effectively
Comfortable working in a fast-paced environment with frequent interruptions
Ability to exercise sound judgment, initiative, and self-direction
Experience with word processing, databases, email, and phone systems
