Job Overview


We are seeking a motivated and organized Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients, providing administrative support. The ideal candidate will possess strong communication skills, attention to detail, and a friendly demeanor,.

This is a psychology office. You will work alongside one full-time administrative staff member and one part-time office manager. We are open to hiring for either a part-time position (three or four days per week) or a full-time position. For part-time roles, the required days are Tuesday through Thursday. Our office serves clients from diverse multicultural backgrounds, including Chinese, Filipino, Punjabi, Caucasian, and others. The families we support have children with a wide range of emotional and behavioral needs, so this role requires someone who is both sensitive to those needs and comfortable working in this environment.

Responsibilities



Greet and assist clients and visitors in a professional manner. Manage multi-line phone systems, directing calls appropriately and taking messages when necessary. Perform data entry tasks accurately and efficiently. Maintain filing systems and ensure all documents are organized and accessible. Provide clerical support including typing, proofreading, and preparing correspondence. Utilize Microsoft Office and Google Workspace for various administrative tasks. Assist with bookkeeping tasks using QuickBooks as needed. Support the dental office team with scheduling appointments and managing patient records if applicable. Handle customer support inquiries with professionalism and care. Maintain a clean and organized front desk area.

Requirements



Previous office experience is required; experience in a medical or dental office is preferred. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Strong computer skills with the ability to learn new software quickly. Excellent organizational skills with attention to detail. Strong typing skills with a focus on accuracy. Phone etiquette. Ability to provide professional customer service and support to clients. Ability to memorize our clinic services information and provide accurate information to clients. Previous clerical or administrative experience is highly desirable.
Job Types: Full-time, Part-time

Pay: $17.85-$22.00 per hour

Expected hours: 24 - 40 per week
