We are looking for a reliable and detail-oriented
Administrative Assistant / Receptionist
who can manage front-desk operations, assist clients, and provide administrative support across both business functions. The ideal candidate is organized, friendly, adaptable, and comfortable juggling both patient-facing and back-office responsibilities.
Key Responsibilities
Reception & Clinic Administration
Greet patients and visitors professionally and create a welcoming environment.
Manage appointment scheduling, confirmations, and cancellations through clinic software (e.g., Jane App).
Process patient intake forms, billing, insurance submissions, and payments.
Coordinate practitioner schedules and maintain daily workflow efficiency.
Answer calls and emails, providing accurate information and timely responses.
Maintain organized front desk and treatment areas, ensuring cleanliness and professionalism.
Administrative Support (Business Operations)
Handle general administrative duties for the company's medical equipment division, including emails, client inquiries, and order updates.
Assist in preparing invoices, purchase orders, and shipping documentation.
Coordinate logistics for product shipments, tracking, and vendor communication.
Maintain accurate databases for clients, orders, and supplier records.
Prepare correspondence, client updates, and marketing support materials as needed.
Support management with scheduling, file organization, and operational reporting.
Qualifications
Post-secondary education in Business Administration, Office Management, or related field preferred.
Minimum 2 years of experience in an administrative or receptionist position (healthcare or office environment).
Excellent communication and interpersonal skills.
Strong organization and multitasking abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Dependable, professional, and able to handle confidential information.
Schedule & Compensation
Hours:
Monday to Friday (with occasional Saturdays as required).
Compensation:
Competitive, based on experience and qualifications.
Work Location:
On-site in Mississauga, ON.
